In this role, you will take on a key responsibility in supporting and maintaining the company's day-to-day financial operations by ensuring accurate pre-accounting processes, invoice management, expense tracking, and financial data preparation. You will work closely with the Finance Manager to build efficient financial workflows, maintain organized records, and help create a strong operational foundation that supports business growth and financial accuracy. Responsibilities

  • Pre-Accounting & Invoice Management: Take ownership of gathering, sorting, and verifying incoming invoices, receipts, and financial documents to ensure they are complete and compliant before booking.
  • Spend Management Support: Assist in managing digital expense tools and corporate cards (e.g., Moss), ensuring employees submit receipts correctly and expenses are properly categorized.
  • Data Preparation & Entry: Accurately digitize and prepare financial records for the month-end closing process, acting as the reliable first line of defense against missing data.
  • Basic Reconciliations: Perform preliminary matching of invoices to purchase orders and bank transactions, flagging any missing documents or discrepancies to the Finance Manager.
  • Foundation Building: Work closely with the Finance Manager to document standard operating procedures (SOPs) and streamline the daily pre-accounting workflows as the business scales.

Requirements

  • Experience Level: 1-3 years of experience in finance administration, accounting support, or bookkeeping. We are looking for a reliable foundational player rather than a senior accountant.
  • The Organizer: You have a naturally high attention to detail and a zero-tolerance policy for messy data or missing receipts.
  • Tech-Savvy & Adaptable: Comfortable working with cloud-based financial and spend management tools. While prior experience with DATEV and Moss is a plus, the ability and eagerness to learn new tech stacks quickly is essential.
  • Process-Driven: You understand that clean data going in leads to clean reporting coming out. You enjoy bringing order to fast-paced startup environments.
  • The Communicator: Capable of clearly following up with internal team members to track down missing receipts or clarify expense details in a friendly, professional manner.
