As a part of the Ambulatory clinic, provide smooth outpatient flow resulting in optimum patient satisfaction and clinic operation. Excellent interpersonal and communication skills to coordinate multiple appointments with many multi-specialty clinical services. Participate in a variety of duties associated with daily clinic preparation process, from customer service, message distribution, procedure scheduling, encounter registration, and referrals management. Departmental Specific Summary Assist with all aspects of patient care. Answers patient phone calls, verify insurance benefits, prepare charts for clinic and prepare charge tickets for clinic visits. Coordinates organization and standardization of Spine Center forms and ensures proper approval. Manages document flow in the office, including sorting and distribution of faxes and indexing, batching and sorting of documents to be sent to central medical records. Triage patient calls to licensed personnel when medical judgment or advice warranted. Cross cover front reception: arrival of patients, collection and posting of over-counter monies, batch closure. Coordinate clinic schedules, patient appointments and follow up. Obtain authorization and coordinate diagnostic testing for patients as ordered by Spine Center provider. Must be comfortable with computers and medical terminology. Must work with any and every physician in the Spine Center. Other duties as assigned. Essential Duties 1. Answers telephones and greets patients. 2. Adheres to protect patient confidentiality. 3. Process new referrals in a timely manner; this includes obtaining required outside medical records, entering demographic information into computer system and PBAR, provides medical records to physician / multidisciplinary team for review, provides insurance information to financial counselor for patient to be financially cleared, and schedule patient in clinic. 4. Schedules patient's evaluation in a timely manner while accommodating patient's needs. This includes but no limited to: laboratories, diagnostic testing and consultations as needed. 5. Releases patient information to requesting partied following established confidentiality procedures. Answers patient inquiries for laboratory results. 6. Understands the procedures for scheduling patients, and gives proper patient instructions. 7. Notifies patient of upcoming appointments in a timely manner. 8. Arranges patient clinic appointments as requested by the physician. 9. Communicates all changes with patient and case information to all involved personnel. 10.Demonstrates accuracy and thoroughness in entering information into computer systems (Cerner, PBAR). 11. Works with various hospital personnel to resolve issues and accommodate patient. 12. Preps charts for clinic, selection committee, and tumor board (if applicable). 13. Assists in clinic with clerical and scheduling needs. 14. Assist in translation as needed (if applicable). 15. Batches and inputs patient information into the computer and retrieves patient demographic data. 16. Scans records into patient's electronic chart (KeckCare) 17. Demonstrates flexibility in covering other staff members for sick time, vacation, or leave of absence. 18. Ability to work independently and in a team setting to accomplish duties in a timely manner. 19. Delivers and picks up mail as assigned. 20. Performs other duties as assigned.
