About the role
We're looking for a Front Desk & Facilities Coordinator to support the day-to-day operations of our factory and office. You'll be the first face people see when they walk in, the person vendors and visitors check in with, and a steady hand keeping the building, kitchen, meeting rooms, and daily rhythms running. Responsibilities
- Front Desk & Hospitality
- Greet visitors, customers, candidates, and vendors; handle the visitor sign-in/NDA process and badge issuance
- Schedule and prepare meeting rooms; ensure they're clean, stocked, and AV-ready before each meeting
- Set up and clean up weekly birthday/anniversary celebrations, all-hands, and team events -- catering orders, drinks, cake, cleanup
- Facility & Vendor Coordination
- Coordinate day-to-day facility services under the direction of the Facilities Manager: utilities, cleaning crew, HYAC, vendors, and coffee/vending services
- Process payments for utilities and facility vendors; track invoices and submit to finance for reconciliation
- Receive, sort, and distribute mail and packages; coordinate shipping/receiving at the loading dock
- Keep the office, kitchen, and common areas stocked -- snacks, beverages, coffee, paper goods, and office supplies
- Manufacturing & Leadership Support
- Provide administrative support to manufacturing leadership: calendar management, scheduling, travel booking, expense reports, and ad-hoc project help
- Help coordinate small-lot purchases, vendor meet-and-greets, and visitor tours of the manufacturing area
- Keep PPE (safety glasses, gloves, ear protection) stocked and accessible to shop-floor staff
- People Operations Support
- Coordinate interview logistics: room booking, candidate greeting, escorting, lunch orders, and interviewer prep
- Support new-hire onboarding: workstation setup coordination with IT, welcome kits, first-day greeting, building tour, and badge provisioning
- Assist with offboarding logistics: badge deactivation and equipment return coordination
- Safety, Compliance & Facility Projects
- Keep required postings current (OSHA, labor law), first aid kits stocked, AEDs in working order, and emergency signage visible
- Support fire drills and safety walks; help compile documentation for audits when requested
- Maintain the list of approved vendors and emergency repair contacts
- Help with small office projects: seasonal décor, swag orders, desk setups, and ambiance upgrades
Requirements
- 3+ years of experience as a facility administrator, office administrator, administrative assistant, receptionist, or coordinator -- ideally in a manufacturing, warehouse, lab, or similarly hands-on environment
- Comfortable juggling multiple small tasks at once and keeping track of the details
- Clear, friendly written and verbal communication -- you'll interact with everyone from technicians to leadership to external vendors
- Comfort with G Suite (Gmail, Calendar, Drive, Docs, Sheets), Slack, and basic expense/invoice tools
- Dependable, organized, and follows through on tasks without needing constant reminders
- Experience in a manufacturing, robotics, or hardware startup environment
- Familiarity with shipping/receiving workflows, PPE inventory, or facility compliance basics (OSHA postings, first aid)
- Experience supporting recruiting and interview coordination
- Basic event setup and catering coordination experience
