About the role

We're looking for a detail-oriented Participant Coordinator to manage the logistics of bringing study participants on site. Our researcher conducts all hands-on experimentation; this role keeps the participant pipeline moving behind the scenes - identifying candidates, reaching out, and scheduling their visits. It is a part-time, fully remote contractor position of roughly 10 hours per week, with no in-person presence required.

Responsibilities

  • Review and search a participant database to identify candidates who meet study eligibility criteria.
  • Reach out to prospective participants by email, phone, or text to gauge interest and confirm fit.
  • Schedule and coordinate on-site visits, aligning participant availability with the research calendar.
  • Send reminders, confirmations, and any pre-visit instructions to keep no-shows low.
  • Track participant status, communications, and scheduling in a shared system, and keep records accurate and up to date.
  • Serve as the friendly point of contact for participant questions leading up to their visit.
  • Flag scheduling gaps or recruitment shortfalls early so the team can adjust.

Requirements

  • Strong organizational skills and reliable follow-through on administrative tasks with minimal oversight.
  • Clear, warm, and professional written and verbal communication - you'll be the first impression for many participants.
  • Comfort working with databases, spreadsheets, scheduling tools, and email.
  • Discretion and care in handling sensitive personal and health-related information.
  • Ability to work independently and manage your own time within a ~10 hour/week commitment.
  • Prior experience in clinical research coordination, participant recruitment, or a study/lab setting.
  • Familiarity with human-subjects research practices or IRB processes.
  • About Flagship
  • Flagship Pioneering is committed to equal employment opportunity regardless of race, color, ancestry, religion, sex, national origin, sexual orientation, age, citizenship, marital status, disability, gender identity or Veteran status.
