About the role
Cochlear is looking for a friendly, professional, and highly organised Team Assistant to join our Global Manufacturing team. This is a permanent opportunity based at our state-of-the-art manufacturing facility in Newstead . In this hands-on and varied role, you will be a key support across the site-working closely with Managers, Supervisors, Engineers and Team Members to ensure smooth day-to-day operations. Responsibilities
- You will provide a mix of reception, coordination, and administrative support, including:
- Providing high-quality administrative and secretarial support to the VP Manufacturing and on-site teams
- Acting as a professional first point of contact for visitors and team members, supporting reception coverage as required
- Managing email correspondence, key communications, and stakeholder enquiries
- Coordinating calendars, meetings, and site events
- Supporting onboarding activities and delivering Kronos training to new starters
- Maintaining communication boards, signage, and labelling across the shop floor in line with CMS 5S standards
- Managing document control processes including filing, archiving, and record keeping
- Updating and verifying payroll and timekeeping data (e.g., Kronos)
- Acting as a point of contact for payroll queries, ensuring timely follow-up with relevant teams
- Raising and tracking helpdesk requests to completion
- Supporting team coordination and coverage across the global manufacturing network
- What Success Looks Like
- In this role, your success will be measured by your ability to deliver high-quality, timely, and accurate support across a range of activities, including:
- Delivering fortnightly direct payroll accurately and on time, including raising pay corrections where required
- Maintaining accurate payroll records and ensuring documentation is archived in line with requirements (e.g., DTR & PDM)
- Responding to payroll enquiries promptly and supporting team members to navigate systems such as Workday
- Managing Kronos timekeeping processes effectively, including exception schedule changes (ESC management)
- Supporting onboarding at scale in line with hiring plans, including system setup and training
- Providing reliable, proactive administrative support across Manufacturing teams and senior stakeholders
- Contributing to quality and compliance activities (e.g., GDP reviews on travellers as required)
- Coordinating and supporting key meetings, including minute taking, content preparation, and follow-up
- Managing purchase orders, goods receipting, and corporate expense processes
- Maintaining accurate documentation and ensuring controlled documents are up to date
- Supporting site operations, including communication boards, dashboards, and visiting stakeholder coordination
- Demonstrating a strong safety mindset by identifying and reporting hazards and contributing to a safe work environment

- You bring:
- Demonstrated experience in administration, coordination, or a similar support role
- Experience in reception or customer-facing environments, with a professional and approachable manner
- Strong communication and interpersonal skills, with the ability to build relationships across all levels

- High attention to detail, particularly when working with data, documentation, and systems
