Job Description: ENT and Allergy Associates of Texas, LLC and Hümi is seeking a full time Regional Operations Manager for our Texas office's. Salary: $77000 - $81,000/annum The overall purpose of this position is to assist the Chief Operating Officer (COO) and Director of Operations with the daily operations of the practice within each site and assigned region. Essential functions include but are not limited to the following: Work directly with all new office staff by training employees on the computer system, NextGen. In addition to visiting office locations, for specified training. Training new and existing employees on policies and procedures. (Customer service issues, reinforcement training on various procedures, referral process, demographic entry, Cash Controls, etc.). Transitioning new physicians and practice locations into ENTA. Visiting new sites and setting up the new location with new appointment cards, medical equipment, credit card terminals, phone systems, signage, computers, printers, fax machines, copiers, Tax Id Changes, answering service, etc. Will work closely with the Director of Human Resources and Manager of Human Resources during a merger or acquisition to onboard new employees. Responsible for training new employees from mergers and acquisitions. In charge of setting up training sessions (here at CBO, or at office locations). Will work closely with the IT Department on coordinating data and computer installs for new locations, and well as reviewing issues with current locations, and reporting them to the Director of IT. Assist in all moves, and renovation projects. Will work closely with the COO handling the following: packing, unpacking, move dates, telephone moves, forwarding mail, ordering equipment, Furniture and medical equipment orders, Allergy Serum transfers, allergy refrigerators, Audiology booth moves, etc. Must follow Check lists for moves. Responsible for onboarding new physicians and following the new physician checklist to order equipment and complete the setup for new physicians. Covering for Practice Site Administrators (PSA) who are on vacation, FMLA, leave, jury duty, etc. In addition, fill in for Surgical Coordinators or front desk, if necessary. Regional Operations Managers will assist with the implementation and training on the new software systems. Regional Managers will work alongside other departments to ensure a successful implementation for all office locations. Train the trainer, retraining, and reeducation will be necessary, and on-going. Responsible for new projects and beta test implementations when new vendors come on the scene (Web Portal, Phreesia, etc.). The Regional Operations Manager will work closely with the PSA on set up, and project plans when necessary. Will work closely with the Vice President of Operations, the Assistant Director of Operations, and the COO. Regional managers may cross-cover territories. Responsible for coverage schedules for locations (by region). Responsible for ensuring that all offices are always covered (call for medical assistant temps, shift employees around, etc.) Must communicate with offices when coverage is scheduled. This coverage sheet must be sent out weekly. Responsible for auditing PSAs on various policies and procedures in addition to the audits that are performed by the Operations Training Manager Responsible for trouble shooting when physicians or PSA's have operational workflow or employee issues. Must create recommendations for improving conditions. Works closely with the HR department in reviewing open positions in the office locations. Works closely with the HR department, when needed will visit offices with HR to handle sensitive issues with staff. Responds to patient inquiries that are submitted to the ENT info mailbox. Complete introductory and annual reviews for assigned PSA's, Medical Assistant or Patient Representative Floaters.
