Responsibilities
- Purchase Order (PO) Management
- Prepare and generate Purchase Orders using the FoodRazor system
- Ensure accuracy of items, quantities, pricing, and delivery schedules
- Submit POs for approval and send to suppliers on time
- Monitor order status and ensure timely processing
- Supplier Coordination
- Liaise with suppliers on:
- Order confirmations
- Delivery schedules
- Shortages or substitutions
- Follow up on delayed or incomplete deliveries
- Communicate updates to relevant outlets (Kitchen / Café / Operations)
- Invoice & Documentation Control
- Perform basic checks on PO vs Invoice vs Delivery

- Maintain proper and organized documentation for record-keeping
- Outlet Coordination
- Support outlets in submitting orders accurately and on time
- Ensure compliance with procurement SOP (no unauthorized or off-system ordering)
- Assist outlet staff with basic system usage when required
- Data & Record Management
- Maintain and update:
- Supplier contact list
- Price lists
- Delivery schedules and cut-off timings
- Ensure all procurement records are accurate and up to date
- Inventory & Reporting Support
- Assist in stocktake and inventory data entry when required
- Support tracking of consumption and wastage
- Highlight irregularities or unusual ordering patterns
- Ad Hoc Duties
- Perform any other duties as assigned to support procurement and operations if needed.
Requirements
- Minimum 1-2 years of experience in procurement, purchasing, or administrative role (F&B experience preferred)
- Familiar with Excel / Google Sheets
- Detail-oriented with good organizational skills
- Strong follow-up and communication skills
- Able to work in a fast-paced environment and manage multiple tasks
- Experience using procurement systems (e.g., FoodRazor or similar)
- Experience handling suppliers in F&B / catering / hospitality
- Basic understanding of inventory or stock management
