Location: Bugis Duration: 1 year Hours: Mon-Fri, Office hours Pay: Up to $3300 Job Description: - Serve as the first point of contact for visitors, ensuring a professional, courteous, and welcoming experience. - Answer and direct incoming phone calls, take messages when required, and relay them to the appropriate employees. - Notify employees of visitor arrivals and provide support for meeting room arrangements when needed. - Coordinate courier-related activities, including DHL shipments, external deliveries, and courier pick-ups. - Arrange courier services and support employees with ad hoc shipment requests. - Maintain the cleanliness, organization, and presentation of the reception and common areas. Administrative, Office & Facilities Support - Provide administrative support, including document preparation, data entry, filing, and records maintenance. - Manage office stationery, pantry supplies, name card orders, and general office inventory, including stock monitoring and replenishment. - Support procurement administration by raising Purchase Requisitions (PR) and Purchase Orders (PO) through systems such as Readsoft and Coupa. - Assist in tracking invoices, expenses, and related administrative documentation. - Support daily office and facilities operations to maintain a safe, functional, and efficient work environment. - Liaise with vendors, service providers, and building management on routine office matters, including Permit-to-Work (PTW) applications and air-conditioning extension requests. - Coordinate and accompany vendors during office maintenance, servicing, and repair works when required. - Support office setup activities and onboarding arrangements. - Attend to routine office requests and escalate issues as appropriate. - Perform other ad hoc administrative, office, and facilities support duties as assigned.
