Job Summary As an Associate IT Assistant - Hybrid, Mandaluyong City, you are required to support the Information Technology Department and Administer, monitor, and update the database containing documents and artifacts of the project. Job Description We are looking for an Associate IT Assistant - Hybrid, Mandaluyong City who will undertake analysis and validation of various documents, ensuring accuracy of input, circulating and tracking of signatures, distribution into various application systems of ADB, maintaining and ensuring appropriate controls in the preparation of data. This position will be full-time and hybrid in Mandaluyong City .

Responsibilities

  • Undertake comparison analysis of data, based on MS Excel, undertaking preparation of reports (investigating discrepancies and ensuring accuracy and reliability), distribution, and presentation of the same
  • Administer user access to project-related tools and systems by filing appropriate requests within ITD, tracking progress, and informing the requester about established access rights
  • Attend to and monitor user requirements by coordinating with various sections of ITD, various departments of ADB, and various contractors of ITD
  • Prepare draft memoranda and internal correspondence in compliance with ADB's standards. Attending regular project meetings and creating meeting minutes
  • Enter and verify information into various computer systems as well as manually maintain records
  • Provide efficient services and actions on incoming telephone calls and emails, taking accurate messages, dealing with queries from internal/external parties to ensure they are referred in a timely manner to concerned staff
  • Ensure the effective coordination of supervisors' schedules by arranging project-related appointments and meetings, as specified by the supervisors and in accordance with ADB procedures
  • Ensure the office filing systems and records are properly maintained and updated in accordance with an existing framework for easy retrieval
  • Maintain adequate stocks of office supplies as required
  • Perform other administrative tasks that may be required

Requirements

  • Required:
  • College graduate; fresh graduates are welcome to apply
  • Experience in administrative functions such as accounting, budgeting, procurement, accounts payable (billing), or office support is an advantage but not required
  • Basic understanding of business processes related to Accounting, Controlling, or Treasury is preferred
  • Strong analytical skills and proficiency in MS Excel (e.g., data analysis, pivot tables)
  • Ability to handle confidential information with discretion
  • Ability to prepare memos and meeting minutes accurately and in a timely manner
  • Good team player with strong interpersonal skills
  • Client-oriented with the ability to mediate and resolve issues effectively
  • Able to follow through on client inquiries, requests, and concerns
  • Demonstrates strong work ethics and the ability to work effectively with individuals from diverse cultural and national backgrounds
  • Highly motivated, proactive, and possesses a problem-solving mindset
  • Proficient in using MS Office applications, including Excel, Word, PowerPoint, and other productivity tools
  • Good time management and organizational skills
  • Good written and verbal communication skills
  • Experience in data control, data management, or related administrative work is an advantage but not required
