About the role
The Service Operations function is the operational arm of our professional services department, serving as the information hub between operations and delivery teams. This role is fundamental in meeting our annual organizational objectives. In this role, you will be the right-hand team member to the Service Operations EMEA Lead, working hand-in-hand on key operational areas while developing ownership of key SO activities in our supportive, inclusive, and relaxed hybrid team environment.
Responsibilities
- Stakeholder Management & Cross Functional Collaboration
- Act as point of contact to our Delivery Teams in your region, serving as primary liaison between project managers and SO Leadership
- Build and maintain strong relationships with diverse internal & external stakeholders, facilitating cross-functional meetings where needed
- Navigate negotiations and complex conversations with project managers, understanding their specific requirements while finding mutually beneficial solutions
- Apply effective conflict resolution and negotiation skills while balancing competing priorities and various constraints
- Project Administration, Financial, Data & Process Excellence
- Support the company and SO Regional Lead in driving continuous process improvement through maintenance and development of new/updated SO artifacts, processes or tools
- Maintain high data quality standards through the use of Power BI dashboards, timesheet data validation and updating project related data in Kimble/Kantata
- Own monitoring of key financial metrics and identification of financial risks across designated projects focused on driving profitability and our growth objectives through:
- Communicating risks and recommended corrective actions to project managers and the Regional SO Lead
- Providing regular financial reporting tailored to stakeholder requirements
- Ensuring adherence to budget management protocols, governance, and approval processes
- Collaborating proactively and effectively with finance teams to ensure accurate financial reporting and budget control
- Monitoring and analysing budget movements for given projects and engaging with respective project managers to ensure awareness and action on discrepancies
- Working with SO Regional Lead to Identify cost optimization opportunities and savings through utilization analysis and capacity management reviews
- Resource Planning & Optimization
- Support Regional Service Operations Lead with effective resource management planning and optimization by:
- Obtaining, summarizing, and communicating project resourcing requirements
- Critically analysing resource requirements against current allocation and utilization rates across multiple projects within your area of responsibility
- Negotiating and influencing placements, resolving conflicts and offering recommended solutions
- Supporting Service Operations Regional Lead with capacity planning and demand forecasting
Requirements
- Professional Services / Consultancy experience will be essential, 2 years minimum
- Demonstrated understanding of resource planning principles and practices
- Proven experience in financial analysis, budgeting, project cost management, or budget planning
- Strong stakeholder management skills with demonstrated ability to build rapport and maintain effective working relationships across different organizational levels
- Experience building and interpreting reports and dashboards using common BI/reporting tools would be desirable
