Responsibilities
- HR Administration & Operations
- Process, verify, and maintain HR documentation and employee data, ensuring accuracy, timeliness, and compliance with company policies
- Handle high-volume administrative activities including onboarding, offboarding, employment changes, and employee records management
- Maintain data integrity in HR systems (e.g., Workday or equivalent HRIS) and ensure secure and accurate record keeping
- Recruitment & Talent Support
- Support the end-to-end recruitment process, including job posting, candidate screening, interview coordination, and offer administration
- Partner with hiring managers to ensure clear role requirements and timely hiring processes
- Assist in candidate assessment, including initial screening and coordination of interviews
- Maintain recruitment data, candidate tracking systems, and documentation for compliance and reporting purposes
- Support onboarding processes to ensure a smooth transition for new hires, including documentation and orientation support
- Employee Support
- Respond to employee and manager inquiries, providing guidance on HR processes, forms, and requirements
- Assist in employee lifecycle processes including onboarding, orientation, and exit procedures
- HR Digitalization, AI & Multimedia Support
- Support the use of AI tools and digital solutions to improve HR efficiency, including data processing, reporting, and employee communication
- Contribute to the development of user-friendly digital content to improve employee understanding of HR processes and policies
- Support adoption of digital platforms and tools to strengthen employee engagement and communication effectiveness
- Process Improvement & Digitalization
- Identify opportunities to improve HR administrative workflows and reduce manual processes
- Support implementation of more efficient digital tools and systems to improve HR service delivery
- Contribute to the consolidation of HR tracking systems to ensure a unified and reliable data framework
- Improve turnaround time for HR services, including payroll processing and employee requests
- Compliance & Audit Readiness
- Ensure HR documentation and employee data are maintained in line with regulatory and company requirements
- Support preparation and management of documentation for audits, accreditation, and compliance activities
- Maintain proper records of certifications, safety compliance, and employee documentation
- Reporting & HR Support
- Prepare regular HR reports, including monthly and quarterly data analysis
- Support HR projects and annual processes such as performance cycles, workforce reporting, and audits
- Maintain HR documentation, records, and communication boards for compliance and transparency
- Your Profile
- Diploma or Bachelor's degree in Human Resources , Business Administration, or related field
- Minimum 2-4 years of experience in HR administration, recruitment support, or HR operations
- Experience working with HRIS systems (Workday experience is an advantage)
- Proficiency in Microsoft Office tools, especially Excel and PowerPoint, with the ability to create clear and structured reports
- Basic to intermediate skills in multimedia content development, such as creating presentations, simple visual materials, or HR communication content (e.g., using PowerPoint, Canva, or similar tools)
- Familiarity with AI tools or digital solutions (e.g., for document preparation, reporting, or communication), with willingness to adopt new technologies to improve HR efficiency
- Strong attention to detail and ability to manage high-volume administrative tasks
- Good understanding of HR processes, recruitment workflow, and employee lifecycle
- Strong organizational and communication skills, with a service-oriented mindset
- Ability to handle confidential information with integrity and professionalism
