About the role

We are seeking a highly organised, proactive and trusted Personal Assistant to support the Alliance Manager at the Alkimos Seawater Desalination Plant (ASWA) on a 12-month fixed term contract. This is a pivotal role providing confidential, high-level administrative support while helping drive coordination across leadership teams. You will be the central point of organisation for meetings, communications, reporting and executive activities, ensuring the Alliance operates efficiently and professionally. The Project The project includes the design, construction, operation and maintenance of the plant with first production in 2028. Works include marine works and tunnels, seawater intake system, a seawater reverse osmosis desalination plant, groundwater system, drinking water storage and pump system, supported by civil, electrical and bulk earthworks. Key Accountabilities Provide high-level administrative and confidential support to the Alliance Manager Manage complex diary scheduling, email correspondence and stakeholder communications Coordinate, prepare and distribute monthly board packs and leadership reports Organise travel, accommodation and logistics for the Alliance Manager and leadership team Schedule, prepare agendas for, and coordinate ALT and AMT meetings Record meeting minutes, track actions and ensure timely follow-ups Maintain accurate documentation systems and manage SharePoint records Support coordination of internal and external events, including workshops and functions Required Skills and Competencies Proven experience as a Personal Assistant, Executive Assistant or in a similar role Strong organisational and time management skills with the ability to prioritise competing demands Excellent written and verbal communication skills High level of discretion and ability to handle confidential information Strong attention to detail and accuracy in documentation and reporting Ability to work independently and proactively in a fast-paced environment Experience supporting senior leaders and engaging with stakeholders Proficiency in Microsoft Office and document management systems (e.g. SharePoint)
