POSITION SUMMARY: The Procurement and Administration Officer is responsible for ensuring efficient, transparent, and cost‑effective procurement of goods and services while providing comprehensive administrative support to daily operations. The role supports compliance with organizational policies, and donor regulatory requirements, and contributes to smooth office management. ESSENTIAL RESPONSIBILITIES: Procurement Duties Plan, coordinate, and execute procurement activities in line with organizational policies and approved budgets Source suppliers, request quotations, conduct bid analysis, and prepare purchase orders Negotiate prices, delivery terms, and contracts to ensure value for money Maintain and regularly update the supplier database Ensure timely delivery of goods and services and verify quality and compliance Maintain accurate procurement documentation (RFQs, contracts, invoices, delivery notes) Support audits by providing complete and well‑organized procurement records Ensure compliance with ethical standards and local procurement regulations Administrative Duties Provide general administrative support to the office and management team Manage office supplies, assets, and inventory records Coordinate travel arrangements, meetings, and logistics Prepare correspondence, reports, and filing systems (physical and electronic) Assist with human resources administration (attendance, leave tracking, onboarding support) Liaise with service providers, landlords, utilities, and external partners Support budget tracking and expense documentation in coordination with finance
