Responsibilities

  • Work with Client and with other internal Departments to review availability of internal install resources, machines, and necessary communication of scheduling with the client.
  • Work closely with Purchasing/Parts to ensure that all required inventory for the project is forecasted and available.
  • Work with Client, sales, and Service Management to set up an installation/upgrade schedule that works for all parties taking into consideration cleanings, renovations, available staffing, etc.
  • Collaborate with Sales Admin Group to ensure that all machine movements and any other paperwork required is completed.
  • Work closely with Marketing and Card Production to ensure that all required resident collaterals, signage, etc. is available for the duration of the project.
  • Maintain regular Client communications and troubleshoot issues and problems, making any required changes to the project schedule, as necessary.
  • Maintain regular communications with all parties both internal and external, to monitor success of the project and make any required changes along the way based on issues, feedback etc.
  • Report back to Operations Management/Executive on installation plan status on a regular basis.

Requirements

  • Highly organized with strong administrative experience
  • The ideal candidate has a minimum of 3-5 years of experience in a busy installation coordination environment with focus on client administration/ service & operations environment.
  • Demonstrated leadership skills and shows a willingness to collaborate as a team to achieve corporate goals
  • An excellent ability to deal with people at all levels and build trust and confidence with sales, administration, management, employees, and Clients.
  • Proven ability to multi-task in a busy environment is a must.
  • Strong project management skills with excellent and proven time management skills.
  • Intermediate P.C. skills with MS Word, Excel and Outlook
  • Some field travel will be necessary and a valid Ontario driver's license with an excellent driving record will be required.
  • Minimum grade 12 education (related post-secondary education preferred)

The Installation Scheduling Coordinator will act as a liaison between Sales, Operations, and our Clients, ensuring seamless interdepartmental coordination and Client relations and communication for all major installations/upgrades. This position will manage the day-to-day scheduling and coordination of all installations for the Region. The Installation Scheduling Coordinator will work with various Departments throughout the organization including: - Sales - Sales Admin Group - Service Management - Installation /Scheduling - Machine Set up/Production - Marketing - Smart Card Production - Customer Service The goal of this position is to ensure a seamless installation of equipment for both the Clients and their Residents, ensuring that all areas have been covered with no steps missed. Clients will experience a seamless transition with little impact to their staff or residents. Estimated Salary: $24.00 per hour based on qualifications and experience. Actual compensation will vary and may be above or below the range based on various factors including but not limited to experience, education, training, location, and responsibilities.
