About the role

This role is part of Phoenix Med Health (MSO), supporting Active Vital Care, a mobile, multi-specialty medical provider delivering in-home care. We're hiring a Scheduling Manager to lead our Visit Management Team (VMT) based in the Philippines. This role is responsible for maximizing provider schedules, optimizing routes, and ensuring consistent daily visit volume. This is not a basic scheduling role. You will manage a team and own provider utilization and operational efficiency across the market.

Responsibilities

  • Lead and manage a team of schedulers (VMT) supporting daily operations
  • Own provider schedules to ensure full utilization and minimal gaps
  • Optimize routing and geographic clustering for mobile providers
  • Drive daily visit targets (e.g., 10+ visits per provider per day)
  • Monitor and adjust schedules in real-time (cancellations, add-ons, urgent visits)
  • Coordinate with Business Development (referrals) and Clinical teams to align supply and demand
  • Ensure all visits are properly scheduled, confirmed, and completed
  • Identify inefficiencies and continuously improve scheduling workflows
  • Track and report on key metrics (visit volume, utilization, cancellations, no-shows)
  • What We Actually Care About
  • You think in terms of volume, efficiency, and output, not just "filling slots"
  • You understand how to maximize provider time in the field
  • You're comfortable managing high-pressure, real-time operations
  • You hold your team accountable and fix problems fast
  • You don't wait-you proactively adjust schedules to hit targets

Requirements

  • 3+ years in scheduling, operations, or workforce management (healthcare preferred)
  • Experience managing a remote or offshore team
  • Strong understanding of logistics, routing, or field operations
  • Highly organized with strong attention to detail
  • Comfortable working US hours or overlapping schedules
  • Experience in home health, mobile care, or field-based services
  • Familiarity with EMR/PM systems (e.g., Tebra)
  • Experience working with US-based healthcare teams
  • How Success is Measured
  • Average visits per provider per day
  • Schedule utilization rate (minimized gaps)
  • Reduction in cancellations and no-shows
  • Speed and effectiveness of schedule adjustments
  • Team performance and execution consistency
