We are looking for a proactive and detail-oriented HR Assistant to join our Human Resources function. This role is ideal for a fresh graduate who is keen to build a career in HR and gain practical experience across the core functions of Human Resources. Reporting directly to the HR Manager, you will support the day-to-day HR operations of the organisation, with exposure to recruitment, onboarding, employee administration, employee engagement, compliance, and HR process improvements. As part of a lean HR function, you will have the opportunity to learn, take on meaningful responsibilities, and build a strong foundation in Human Resources.
Responsibilities
- Recruitment & Onboarding
- Coordinate recruitment activities, including posting job advertisements, screening applications, scheduling interviews, and communicating with candidates.
- Liaise with hiring managers to coordinate interview arrangements.
- Conduct reference and background checks where required.
- Prepare employment contracts, onboarding documents, and other new hire materials.
- Prepare and coordinate work pass applications, renewals, cancellations, and related documentation where applicable.
- Follow up with candidates to ensure all required documents are submitted in a timely manner.
- Coordinate onboarding activities and pre-employment requirements to ensure a smooth onboarding experience.
- HR Administration
- Maintain accurate employee records, HR databases, and personnel files.
- Organise, maintain, and archive HR documents and filing systems.
- Prepare HR letters and other employment-related documentation.
- Assist in the administration of employee leave, insurance, benefits, and other HR records.
- Provide administrative support to ensure the smooth day-to-day operations of the HR function.
- Employee Lifecycle Administration
- Prepare and maintain HR documentation in accordance with company policies and employment regulations.
- Assist in the administration of probation reviews, employment confirmations, contract renewals, and employee transfers.
- Coordinate employee offboarding, including exit documentation and clearance.
- Employee Engagement & HR Projects
- Support employee engagement initiatives, staff events, and training activities.
- Assist in preparing HR reports, presentations, and documentation.
- Assist in HR process improvement initiatives and other HR projects.
- Perform other HR-related duties as assigned by the HR Manager.
Requirements
- Diploma or Degree in Human Resource Management, Business Administration, or a related discipline.
