About the role

As Payroll Coordinator, you will be responsible for delivering accurate and timely payroll services for all employee populations, including permanent, fixed-term, and freelance/intermittent employees. You will work closely with external payroll providers, HR teams, Finance teams, and managers to ensure seamless payroll operations and compliance with local regulations.

Responsibilities

  • Payroll Preparation & Coordination
  • Collect, review, and input payroll variable elements into payroll systems (absences, allowances, bonuses, overtime, vouchers, etc.)
  • Manage payroll calendars and ensure all deadlines are met
  • Prepare and transmit payroll data to external payroll providers
  • Review payroll reports and payslips to ensure accuracy
  • Compliance & Reporting
  • Review social declarations and monthly payroll reporting (DSN)
  • Ensure compliance with local labour laws, regulations, and collective agreements
  • Manage payroll-related declarations for Belgium and the Netherlands
  • Support payroll audits and internal controls
  • Contribute to process improvements and payroll procedure updates
  • Stakeholder Management
  • Serve as the primary contact for payroll providers in Belgium and the Netherlands
  • Partner with Finance teams on payroll accounting entries and analysis
  • Respond to payroll and personnel administration queries from employees and managers
  • HR Reporting & Monitoring
  • Produce payroll and HR reports for internal stakeholders
  • Monitor payroll and HR administration KPIs
  • Support continuous improvement initiatives across payroll operations
  • About You
  • Bachelor's degree in Human Resources, Payroll Administration, Finance, Business Administration, or a related field
  • Minimum 3 years' experience in payroll coordination and administration, ideally within a multi-country or international environment
  • Strong knowledge of French payroll regulations, social declarations, and labour law compliance
  • Experience working with external payroll providers
  • Knowledge of payroll systems; experience with SILAE is a plus
  • Understanding of payroll reporting, controls, and accounting entries
  • Highly organised, detail-oriented, and able to manage multiple priorities and deadlines
  • Excellent communication and stakeholder management skills
  • Fluent in French and English (written and spoken)
