About the role

We are looking for a mature and reliable Operations Executive to join Elements Wellness. This role covers stock management, supplier ordering, outlet coordination, and general admin. You will work closely with outlet managers and the management team. We need someone who is organised, takes ownership, and responsible.

Responsibilities

  • Stock & Inventory
  • Collect and process monthly stock requisitions from each outlet
  • Arrange delivery of stocks and inventory to the correct outlet in a timely manner
  • Place orders when stock is running low; make sure the right items go to the right outlet
  • Receive and check incoming stock; update records when stock comes in or goes out
  • Prepare simple reports on stock levels, shortages, and price lists
  • Do regular stock counts and flag any differences to the manager
  • Check and update stock levels regularly across all three outlets
  • Supplier & Procurement
  • Source products from local and overseas suppliers.
  • Manage recurring orders - keep an updated list of items, links, quantities, and reorder timing
  • Coordinate shipping: work with freight agents, track shipments, and follow up on delivery
  • Handle customs-related paperwork or queries when shipments arrive in Singapore
  • Get at least two to three quotations before making any purchases or signing any contracts
  • Build and maintain good working relationships with all suppliers
  • Admin & Licensing
  • Apply for and renew business licences on time.
  • Manage office supplies - check what is running low and reorder before it runs out
  • Oversee office equipment; arrange maintenance or repairs when needed
  • Handle general admin tasks such as filing, photocopying, and data entry
  • Help with front desk duties when needed (answering calls, greeting visitors)
  • Outlet & Team Support
  • Coordinate with outlet managers across all three locations on operational matters
  • Follow up on outlet requests and make sure things get done on time
  • Support the management team with ad hoc tasks as needed

Requirements

  • Mature, responsible, and works well independently
  • Organised with good attention to detail
  • Good communication skills in English and Mandarin (spoken and written)
  • Comfortable with Microsoft Excel or Google Sheets
  • Prior experience in operations, admin, or procurement
  • Background in wellness
  • Familiar with inventory or POS systems
  • Who Will Do Well in This Role:
  • You are the kind of person who notices things before they become a problem. Stock is running low - you reorder before anyone asks. Asupplier does not reply - you follow up. A delivery is late - you track it down.
  • You are comfortable juggling several tasks at once and you keep things tidy - records, folders, and follow-ups. You do not need someone checking on you every day.
  • You are a good communicator. You can deal with suppliers in Mandarin, talk to outlet managers about what they need, and update the management team clearly.

  • Full-time, shorter than standard Singapore 44-hour workweek. Exact hours to be confirmed at interview.

  • Occasional visits to 313 Somerset, Centrepoint, and ION Orchard as required
