About the role

Responsibilities
- Responsible for data entry and maintenance of job information in CRM database including generating and distributing the weekly reports to the Sales team
- Order management: prepare and verify sales orders for production
- Track warranty claims and HVAC manufacturer's transactions
- Weekly attendance of Sales meeting
- Maintains job files for the sales team
- Planning and coordinating customer appreciation events and factory visits
- Coordinate customer care packages, keeping novelty through a unique/customized approach
- Maintaining a calendar on key trade association events and trip planning - particularly Data Center and Industrial events
- Creating collateral materials/pitch decks relevant to specific customer engagements
- Providing internal customer service support, both locally and across multiple offices
- o Job reconciliations
- o Accounting and invoicing
- o Service and Warranty (coordinating tech trips for startups, and commissioning support for pump houses, skids etc.)
- o Cross-territory coordination
- Ability to multi-task, prioritize and strong organizational skills are essential
- Experienced in customer service, enjoy working both independently and in a fast-paced sales team environment
- Performs other duties as assigned
- Flexibility to work weekends as required
- The Required Profile
- Associate Degree in Business or related field
- 3-5 years of administrative/sales support experience
- Strong computer skills in Microsoft Word, Excel, PowerPoint, Outlook, and CRM databases
- HVAC, Mechanical Contracting, Engineering or Construction industry experience a plus

- Language Skills
- Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.

- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Mental stamina for problem solving and prioritizing multiple tasks.

- Will be required to work in an office environment.
