Responsibilities

  • Organize and categorize incoming items in the Conflicts inbox to ensure timely and accurate processing
  • Run conflicts checks on new requests. Analyze and review the resulting conflicts reports to identify potential adversities or conflicts related to new client matters, incoming attorneys, Client Relations articles, and other relevant inquiries.
  • Conduct detailed research on prospective clients, involved parties, and their corporate affiliations by utilizing internal and external databases.
  • Communicate with attorneys regarding potential conflicts, evaluate responses, and assist with resolution efforts with professionalism and attention to detail.
  • If a conflict arises, assist in resolving it by conducting detailed searches and preparing written analyses when needed.
  • Correspond with clients to confirm required documentation and verify case information.
  • Verify that acknowledgements have been sent and follow up with attorneys as needed to ensure completion.
  • Send follow-up communications for matters pending rates, assignment, or analysis to ensure timely progression.
  • Assist in implementing ethical screens as needed to manage confidentiality and conflict requirements.
  • Maintain and regularly update the New Files Tracker to monitor new files, Client Relations requests, additional conflicts, and all other conflicts checks.
  • Download, review, and save incoming documents; ensure timely delivery to responsible attorneys and support staff.
  • Collaborate effectively with departmental staff, attorneys, paralegals, legal assistants, and firm management to support the Conflicts process and firm-wide initiatives.
  • Create or update standard operating procedures (SOPs) for Conflicts processes as needed to ensure accuracy and consistency
  • Submit receipts in accordance with company expense reporting procedures.
  • Assist with additional Conflicts-related projects as assigned to support departmental goals and initiatives.

Requirements

  • Preferred minimum of 2-3 years of experience in a law firm Conflicts Department, New Business Intake Department, Risk Management Department, or a similar legal support role.
  • Prior experience as a paralegal, legal researcher, or conflicts professional in a law firm environment.
  • Paralegal Certificate preferred, or completion of an ethics course through a paralegal program.
  • Experience performing conflicts searches, analyzing conflicts reports, and identifying potential legal and ethical conflicts.
  • Experience researching corporate structures, including parent companies, subsidiaries, and affiliated entities.
  • Knowledge of legal intake, new business intake, and matter-opening procedures preferred.
  • Overall understanding of corporate law practice and applicable legal ethics rules.
  • Strong analytical, critical-thinking, and problem-solving skills, with the ability to interpret complex information, identify inconsistencies, and make sound recommendations.
  • Strong research skills utilizing both internal and external resources.
  • High proficiency in Microsoft Office, Microsoft Excel, and Adobe Acrobat; experience with ProLaw preferred.
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
  • Ability to work independently with minimal supervision, exercise sound judgment, and adapt to changing priorities and business needs.
  • Demonstrated commitment to maintaining strict confidentiality and handling sensitive information with discretion and professionalism.
  • Excellent listening, verbal, written, interpersonal, and customer service skills, with the ability to communicate effectively with attorneys, staff, and internal and external stakeholders at all levels of the organization.
  • Strong work ethic, collaborative approach, and commitment to continuous improvement and process enhancement.
  • Ability to work a minimum of 7.5 hours per day (8:30 a.m.-5:00 p.m. Pacific Time); overtime may be required to meet business needs and special project deadlines.
  • Compensation Package
  • The hourly pay range of $32-45/hour, depending on experience
  • Overtime paid at 1.5× the regular hourly rate, as needed
