Responsibilities

  • Primary Responsibilities:
  • Support the conference hotel accommodation strategy for Gartner's Destination Conferences hosted in multiple geographies and range from 2,000 to 15,000 attendees.
  • Creating housing documentation such as FAQs, booking guides, and email communications.
  • Regularly review hotel pick-ups across multiple hotels and events, identifying opportunities to adjust inventory to maximize availability, and mitigate any financial risk of attrition.
  • Internal escalation point of contact for hotel questions or issues, particularly for EMEA, APAC, LATAM, and India based conferences.
  • Manage 3rd party vendor hotel accommodations bookings
  • Assist in reconciling final pickup and any rebates/concessions due to the group
  • Travel to and carry out assigned "on-site" duties on designated conferences.

Requirements

  • Minimum of 1-3 years in the hotel industry, preferably in group reservations, or 3-5+ years of business meeting planning experience
  • Hotel/room block inventory management
  • Rooming list management for large groups
  • Project management experience
  • Hotel negotiation and supplier management experience preferred
  • Excellent interpersonal and customer service skills. Ability to effectively deal with attendee and associate concerns in a friendly and positive manner and provide positive and proactive solutions.
  • Strong organizational and problem-solving abilities.
  • Ability to work independently and as part of a global team.
  • Highly motivated and detail-oriented.
  • Ability to take initiative and handle multiple tasks simultaneously.
  • Strong oral and written communication skills
  • Proficiency in the MS Office suite including Word, Excel, Gdrive and Power Point. Knowledge of hotel reservation systems (but not required).
  • Willingness to travel 25-30 % across EMEA locations
