About the role
We're looking for an enthusiastic, action-oriented, results-driven Proposal Specialist to join our Strategic Growth & Proposals team. Reporting to the Manager, Strategic Growth & Proposals, this role will support the development, coordination and submission of Requests for Information (RFIs), Requests for Proposals (RFPs) and finalist presentations for some of our largest and most complex clients, aligned with business growth objectives. This is not a client-facing role; rather, it plays a critical part in enabling our Sales teams by equipping them with high-quality and compelling materials that support successful client outcomes. This role will involve extensive collaboration with Sales, Marketing, Product and subject matter experts to bring together cohesive, client-centric responses that clearly articulate our value.
Responsibilities
- Proposal Strategy and Planning:
- Support the development of proposal strategies aligned with client needs, win themes and business objectives.
- Review and analyze RFP requirements to identify key deliverables, risks and opportunities.
- Contribute to response planning to ensure clear, compelling and differentiated messaging.
- Support the development of win themes and key messaging by synthesizing client research, RFP requirements and internal insights.
- Conduct client research to inform proposal strategy and strengthen positioning.
- Proposal Development and Execution:
- Coordinate the end-to-end proposal process, bringing together inputs from multiple stakeholders into a cohesive, client-focused response.
- Manage and synthesize large volumes of content and inputs, ensuring information is organized, aligned and carried through each stage of development into a cohesive final submission.
- Translate technical and business inputs into clear, compelling and client-centric messaging.
- Draft, edit and tailor proposal responses to ensure clarity, consistency and alignment with client needs and evaluation criteria.
- Collaborate with design and content teams to develop visually compelling, well-structured and client-centric proposal materials.
- Content Management and Continuous Improvement:
- Maintain and enhance proposal content libraries, templates and tools to improve efficiency and consistency.
- Identify gaps in content and work with stakeholders to develop new materials.
- Apply a client-centric lens to continuously refine messaging, ensuring proposals clearly communicate value and differentiation.
- Continuously bring forward ideas to improve proposal quality, process and win rates.
- Project Management:
- Develop and manage workback schedules to ensure all proposal milestones are met.
- Act as the central point of coordination, ensuring all contributors are aligned, accountable and progressing toward deadlines.
- Maintain structure and organization across high-volume, complex proposals, ensuring all components progress smoothly through each phase from initial intake to final submission.
- Track progress, manage competing priorities and proactively mitigate risks to timelines.
- Facilitate meetings, manage feedback loops and ensure alignment across all contributors.
- Develop and drive proposal processes, leading by example and promoting best practices to continuously improve the quality and efficiency of our pursuit approach.
- Quality Assurance and Compliance:
- Ensure all submissions are complete, compliant and aligned with brand and messaging standards.
- Conduct thorough reviews for accuracy, consistency, compliance and overall quality.
- Support final production, formatting and submission of proposals.
- Stakeholder Collaboration:
- Act as a key liaison between Sales, Marketing, Product and other internal teams.
- Build strong relationships and establish credibility with senior leaders and subject matter experts to influence inputs, align on messaging and drive high-quality outcomes.
