General Description: Provides bilingual secretarial support to the office. Performs a variety of moderately complex work within established procedures and standard practices. Work is under general supervision and requires extensive coordination with others. Requires handling of sensitive information and dealing tactfully with the public. Contacts are made within and outside the organization and requires dealing tactfully and confidently with individuals on sensitive issues. Accuracy and exercise of sound judgment is required. Job Description: Essential Job Functions: Screens visitors, telephone calls and incoming mail, personally answering inquiries which in the employee's judgment do not require the supervisor's attention Types, assembles, and disseminates reports, handbooks, correspondence, etc. Acts as an information specialist regarding a variety of matters related to operations and policies Maintains good rapport with internal and external stakeholders Prepares reports and furnishes information requested from within and outside the organization Performs clerical and routine work required to ensure the efficient operation of the office Participates in orientations, family engagement meetings, and conferences for Spanish-speaking families for general support Performs other duties as assigned Budgetary Responsibility: No budgetary responsibility Report Preparation: Data collection and report preparation under supervision, as requested Equipment Operation: Uses standard office equipment (telephone, computer, copier, and printer). Must be familiar with Google Suites (docs, sheets, email, drive). Contacts: Contacts are made within and outside the organization and requires dealing tactfully and confidently with individuals on sensitive issues. Work Direction/Supervision: N/A Decision-Making: Decisions are made in collaboration with Instructional Specialists and the Coordinator of Early Childhood Services.
