About the role
This position is responsible for managing field service and customer inquiries in relation to service requests. Most commonly coordinating and processing service maintenance agreements by entering specific machines and dollar amounts to accurately reflect accruals and deferrals for accounting. Create monthly invoices. Work closely with RSM's, sales and accounting when creating or changing contracts. Essential Functions: Respond to inquiries from field techs and customers. Obtain necessary information relating to service issues, investigate billing problems, collect and research documentation, review and adjust discrepancies & resolve issues. Follow up with customer to review and ensure problems are resolved. Input data into computer to process SMA's and the auto-generated work orders which requires accuracy and initiative on decision making. Make sure D365 and NAV invoices match and if not correct. Validate data & close all service work orders to produce invoices. Create the monthly, quarterly and, annual invoices for SMA's. Provide weekly/monthly SMA reports. Set-up assets and/or change in NAV and D365. Make SMA's changes in D365 and NAV. Request new accounts via portal for NAV and input new accounts into D365. Create transfer and MAP orders for service techs. Expedite and monitor van stock and MAP orders. Follow up with purchasing to determine part availability and ensure field service needs are met to satisfy scheduled service call. Process credit memos and re-bills as required. Train employees as assigned (Cross train). Close field RMA's. Submit requests for certificates of insurance. Education: High School Diploma or GED required.
