This role is designed for an agile, hands-on professional who wants to master the reality of event management from the ground up. You will be the operational engine of our projects. You will take full charge of executing our smaller, fast turnaround corporate activations, and act as the critical right-hand support to our project team on large-scale enterprise events. You will also support the project team in creating creative proposals for project tenders.

Responsibilities

  • End-to-End Execution
  • Logistics & Supplier Coordination: Own the daily ground communication and coordination with vendors, fabricators, caterers, and AV partners to ensure timelines are strictly met.
  • Timeline Management: Maintain and update operational schedules, ensuring all internal milestones, asset delivery dates, and client check-ins stay perfectly on track.
  • On-Site Floor Execution: Manage the physical setup, registration counters, fabrication placement, and breakdown on event days for smaller activations, acting as the primary point of contact on the ground.
  • Enterprise Project Support
  • Project Support: Assist project team in compiling technical breakdown sheets, sourcing supplier quotes, and drafting administrative floor-plan/manpower schedules.
  • Client WIP Assistance: Participate in client Work-In-Progress (WIP) meetings, accurately document changing client scopes, and manage administrative project documentation.
  • Event Day Assisting: Support the project team during event days and troubleshooting minor on-site issues before they reach the client.
  • Sales / Pre-Sales Support: Assist the project team in creating creative proposals and quotations based on client briefs.
  • Job Requirements
  • Experience: 0 to 3 years of hands-on event coordination or project management experience. Fresh graduates with strong internship experience in events, hospitality, or creative agencies are highly welcome to apply.
  • Operational Stamina: Highly organized, detail-obsessed, and possesses the physical and mental stamina required to handle irregular hours during event days.
  • Communication Skills: Excellent interpersonal skills with the clarity to coordinate firmly with external suppliers and communicate updates efficiently to internal team leads.
  • Technical Proficiency: Comfortable with Google Workspace (Drive, Docs, Sheets, Slides) and MS Office. Ability to interpret tender briefs and requirements is an advantage.
  • Mindset: A proactive, problem-solving attitude with zero hesitation to roll up your sleeves and get your hands dirty on the event floor.
