About the role
This position will work directly with the supervisor, Health Systems Specialist Administrative Officer, to obtain the knowledge and skills required to function at the full performance level in support of the Deputy of Nursing & Patient Care Services. Experience using Microsoft Office at an intermediate level to generate professional documents, create and maintain spreadsheets, and manage email and calendars; Familiarity with automated timekeeping, scheduling, or database systems (such as VATAS, TMS, AcuStaf) in a fast-paced office setting; Previous work in an administrative support or clerical role, preferably within a healthcare, human resources, or public service environment; Ability to type at least 40 WPM, and experience preparing error-free correspondence and records; Demonstrated success working as part of a diverse team, with flexibility and a willingness to learn new processes. Specialized Experience GS07: You must have one year of specialized experience equivalent to at least the next lower grade in the normal line of progression for the occupation in the organization. Proven ability to independently manage calendars for senior leaders including prioritizing, rescheduling, and proactively resolving conflicts; Extensive experience applying intermediate or advanced functions in MS Word, Excel, and Outlook for reporting, presentations, meeting coordination, and document management; Demonstrated accuracy in timecard processing, leave tracking, and compliance with federal payroll/timekeeping policies; Experience with onboarding coordination, including PIV sponsorship, ePAS actions, and collaboration with HR to ensure a smooth orientation for new staff; Ability to analyze and improve office procedures, train others on administrative processes, and handle confidential/sensitive information appropriately; Evidence of strong written and verbal communication skills, including composing professional correspondence and taking accurate, timely meeting minutes; History of consistently meeting deadlines while managing multiple priorities in a busy office setting. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social).
