About This Role We are seeking a highly skilled and proactive Executive Assistant to provide strategic administrative support to members of our leadership team. This role requires exceptional organizational abilities, strong interpersonal skills, and the ability to manage complex schedules and priorities in a fast-paced, environment. The ideal candidate will serve as a trusted partner to senior leadership, managing high-volume calendars, coordinating sophisticated travel arrangements, and ensuring seamless communication across internal and external stakeholders.
Responsibilities
- Calendar and Schedule Management
- Partner with executives to manage complex, dynamic calendars with numerous external engagements including client meetings, industry events, and partner interactions.
- Proactively anticipate scheduling conflicts, prioritize competing demands, and ensure optimal time allocation aligned with strategic priorities.
- Exercise sound judgment in determining which meetings require executive attention and which can be delegated or declined.
- Travel Coordination
- Arrange comprehensive travel logistics including flights, accommodations, ground transportation, and detailed itineraries. Manage travel disruptions with agility and develop contingency plans as needed.
- Anticipate needs across time zones and ensure executives have all necessary materials, briefing documents, and meeting preparations in advance.
- Stakeholder and External Relations Management
- Demonstrate polished, professional written and verbal communication that reflects the executive's leadership and the organization's standards in all external interactions.
- Handle sensitive communications with discretion and professionalism.
- Cultivate and maintain positive relationships that reflect well on the executives and the organization.
- Screen and prioritize incoming requests to protect executive time while ensuring important relationships are nurtured.
- Cross-Functional Collaboration
- Work effectively across departments and with executive assistants supporting other leaders to coordinate meetings, align calendars, and facilitate information flow.
- Build strong working relationships throughout the organization to expedite requests and solve problems efficiently.
- Serve as a liaison between executives and internal teams to ensure seamless execution of initiatives.
- Meeting and Event Coordination
- Plan and execute internal and external meetings, including logistics, agenda preparation, materials distribution, and follow-up.
- Coordinate executive participation in conferences, speaking engagements, and company events. Manage event logistics from registration through post-event thank-you communications.
- Action Item Tracking and Project Support
- Capture and track action items from meetings and conversations. Follow up with responsible parties to ensure timely completion.
- Help executives define deliverables, assign ownership, and monitor progress on key initiatives.
- Maintain organized systems for tracking commitments and deadlines.
- Communication and Documentation
- Draft and edit correspondence, presentations, and communications on behalf of executives. Prepare briefing materials and background information for meetings.
Requirements
- 2-5 years of experience supporting executive leadership, preferably in a fast-paced environment
- Proven ability to manage complex calendars with high volumes of external engagements
- Exceptional organizational skills with keen attention to detail and ability to manage multiple priorities simultaneously
- Outstanding interpersonal and communication skills with the ability to interact confidently with all levels of leadership, clients, and external partners
- Strong business acumen and sound judgment in handling confidential information and sensitive situations
