Responsibilities

  • Coordinate all insurance matters for the managed fleet, including Hull & Machinery (H&M), Protection & Indemnity (P&I), War Risk, Crew, and other operational insurance policies to ensure comprehensive coverage.

  • Liaise with vessel Masters, Fleet Managers, insurers, brokers, surveyors, lawyers, and P&I Clubs throughout the claims process to resolve issues efficiently.
  • Track claim progress and maintain an up-to-date claims register until final settlement to provide transparency and control.
  • Assist in claim investigations and recommend preventive measures to reduce future losses and improve risk management.
  • Ensure insurance-related processes comply with the company's Quality Management System (QMS), ISM Code, ISO standards, and client requirements to maintain quality assurance.
  • Maintain documented procedures and records for insurance administration to support internal and external audits.
  • Support internal and external audits by providing insurance-related documentation to demonstrate compliance.
  • Identify process improvements to enhance insurance administration and claims handling for operational efficiency.
  • Assist in identifying operational risks and recommend appropriate insurance coverage to mitigate potential exposures.
  • Review incident trends and prepare reports for management to inform risk mitigation strategies.
  • Support the implementation of corrective and preventive actions arising from insurance claims to reduce recurrence.
  • Act as the primary point of contact for insurance-related matters between vessels, Fleet Managers, insurers, brokers, and clients to ensure clear communication.
  • Coordinate with Finance regarding claim recoveries, deductibles, and premium payments to ensure accurate financial management.
  • Provide advice to internal stakeholders on insurance requirements and claims procedures to enhance understanding and compliance.
  • Maintain insurance and claims databases to ensure data accuracy and accessibility.
  • Prepare monthly and quarterly insurance reports, including claims status, outstanding cases, and claim statistics to inform management decisions.
  • Monitor insurance costs and provide management with relevant analyses and recommendations to optimize expenses.
  • Preferred competencies and qualifications
  • Diploma or Bachelor's Degree in Maritime Studies, Marine Insurance, Shipping, Business Administration, Quality Management, or a related discipline.
  • Professional qualifications in marine insurance or shipping will be an advantage.
  • Minimum 3-5 years of experience in marine insurance, ship management, marine claims, QA, or a related maritime field.
  • Experience dealing with P&I Clubs, marine insurers, brokers, and classification societies is preferred.
  • Knowledge of ISM Code, ISO 9001, and maritime regulations is an advantage.
  • Good understanding of marine insurance, P&I, Hull & Machinery, crew insurance, and claims handling.
  • Knowledge of maritime conventions and industry regulations.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Good negotiation and stakeholder management skills.
  • Proficiency in Microsoft Office applications, particularly Excel and Word.
