Facilities Assistant

About the role

We are seeking an organized and proactive Facilities Assistant to support the daily operations of our Brazil office. This role is critical in maintaining an efficient, safe, and welcoming workplace. Working independently for much of the time, the Facilities Assistant will serve as the primary point of contact for office-related support and will coordinate across multiple internal functions to ensure smooth operations.

Responsibilities

• Provide day-to-day office and facilities support, acting as the first point of contact
• Welcome visitors and ensure visitor management procedures are followed
• Support meeting and event coordination and follow up on action items
• Manage incoming/outgoing mail, courier shipments, and deliveries
• Process purchase requisitions, track purchase orders, and support invoice handling
• Liaise with internal teams to support office needs and compliance activities
• Maintain organized documentation, records, and shared files
• Qualifications & Skills
• Fluency in Portuguese and English (written and spoken) required
• Experience in office administration, facilities, or similar support role preferred
• Strong organizational skills and ability to manage multiple tasks
• Ability to work independently with minimal supervision
• Strong attention to detail and problem-solving ability
• Proficiency in Microsoft Office tools
