About the role

We are a globally established specialty material distribution company headquartered in USA, with ambitions to grow rapidly across Aisa and international markets. As we develop a new facility in Singapore, we are looking for a sharp, hands-on Office Manager to support the company in driving operational excellence from the ground up within our Singapore office. --- This is a high-impact, hands-on role that spans office administration, human resources, vendor coordination, stakeholder liaison, and basic financial reporting. Responsibilities

  • Administration & Office Management
  • Oversee day-to-day office operations, facilities coordination, and vendor management
  • Develop and maintain office SOPs, filing systems, and administrative workflows
  • Coordinate with government agencies, building management, and service providers
  • Track and follow-up on action items, deadlines and deliverables across multiple workstreams
  • Handle procurement of office supplies and manage contracts with vendors
  • HR & People Operations
  • Manage end-to-end recruitment administration (job postings, scheduling, offer letters)
  • Handle onboarding and offboarding processes for all staff
  • Maintain employee records and ensure compliance with MOM regulations and Employment Act requirements
  • Administer payroll inputs, CPF submissions, and leave management
  • Finance & Reporting
  • Prepare and maintain basic financial records including accounts payable/receivable tracking
  • Process invoices, expense claims, and staff reimbursements
  • Assist in monthly financial reporting and cash flow monitoring
  • Liaise with external accountants and auditors for statutory compliance
  • Support the GM with budget tracking and cost management

Requirements

  • Experience in office management, executive administration, or operations, ideally covering HR and finance functions
  • Understanding of Singapore employment legislation, CPF, and MOM requirements
  • Hands-on experience with basic bookkeeping or accounts administration
  • Strong organisational skills with meticulous attention to detail and the skill to juggle multiple priorities
  • Excellent written and verbal communication skills in English; proficiency in Mandarin is a plus
  • Comfortable navigating ambiguity in a newly set-up operations where local processes are still being built
  • Prior experience with cross-border operations or experience in an industrial, maufacturing environment is a plus
