Position Department Registrar's Office Job Summary/Basic Function The Registrar Office Coordinator is most often the first contact the students, parents, faculty, and staff have with the Registrar's Office. The first impression that is given is an important part of how the office is perceived, thus the information services coordinator must be personable, professional and knowledgeable of the functions of the office. Greeting, meeting, answering questions, directing people/questions appropriately, and supervising student workers are the main responsibilities of the position. Essential Functions: Customer Service/Administrative Support to the Associate Registrar - Monitor, answer, and direct to the appropriate person phones calls and walk-ins to the Registrar's Office. Schedule individual appointments for the Registrar. Provide directional support to students in-person and remotely, when needed. Assist with the coordination of Registrar's Office/Biddle House Functions. Forms Processing - Communicate with faculty and students regarding needed approvals and missing documentation, as well as respond to inquiries about the online Enrollment in Another Institution Form. Process FERPA Recommendation Letter requests, Pass/Fail forms, Permanent Home address changes, and notices received about deceased alumni. E-mails/Correspondence - Monitor, answer, and direct e-mails to the appropriate person from the Registrar's e-mail account. Maintain a collection of standard email responses for use by the Registrar's staff for a variety of inquiries. Prepare and distribute Dean's List letters each semester and on adhoc basis. Open, sort, and distribute mail. Scan documents and file them into Content 7. Student Employment - Hire/supervise student employees, including interviewing, scheduling, training, time approval for pay & coordinating duties. Office Procedures - Maintain Office Procedures Manual. Update Check-Off lists used throughout the year. Building Coordinator for Department Emergency Plan - Update and maintain Department Emergency Plan. Coordinate with other departments in building to keep information accurate. Keep in contact with the appropriate person in DPS for updates with Emergency Plan. Placement & Credit - Coordinate and post AP credit, as well as language, math, chemistry and music placement information for students not automatically loaded into the system.
