Job Description: Service Planning & Initiation - Review and validate service requests to ensure all required information is accurate and complete - Confirm approvals and apply applicable programs or terms - Analyze service history and documentation to help define scope of work - Ensure clarity in service scope, timelines, and cost expectations prior to initiating work - Open and organize service work orders and supporting records - Identify potential risks and communicate appropriately - Maintain structured and accurate document control throughout the process Service Coordination & Process Management - Support service teams during execution to ensure processes are followed and records remain accurate - Maintain real-time updates across systems and documentation tools - Complete administrative processes related to billing, warranty, and approvals - Manage updates to work orders including labour, parts, and billing allocations - Monitor progress and escalate risks or delays - Schedule and coordinate key project meetings and milestones - Coordinate logistics such as transportation and third-party vendors Work Order Close-Out & Invoicing - Review work orders for completeness prior to closure - Ensure documentation is collected including reports and billing support - Follow up on outstanding items to ensure timely invoicing - Initiate and complete billing processes - Validate documentation meets quality standards Customer & Stakeholder Support - Communicate with internal and external stakeholders professionally - Respond to service and billing inquiries - Provide regular updates on job progress - Support cross-functional teams as needed Skills & Competencies - Strong organizational and administrative skills - Excellent attention to detail - Effective communication and coordination skills - Strong problem-solving abilities - Ability to manage multiple deadlines - Proficiency in Microsoft Office and business systems Education & Experience - Post-secondary education in business administration or related field preferred - 2-4 years of experience in administrative or coordination roles - Industry experience is an asset At Finning, we prioritize creating a diverse and inclusive environment.
