The Personnel and Administration Assistant is responsible for supporting both office administration and personnel functions to ensure efficient daily operations and effective processes. This role covers office management, recruitment and employee lifecycle administration, compliance, and event management. Key Accountabilities: Office Administration: Ensure the office is fully operational, with all facilities, utilities, and equipment functioning properly and well maintained Manage relationships and contracts with external service providers (e.g., couriers, office supplies, maintenance vendors) Oversee office supplies, asset management, and general administrative operations Event Management Plan and organize internal events, employee engagement activities, and company events Manage event logistics, including venue, vendors, materials, and scheduling Monitor event budgets and timelines to ensure effective execution Evaluate event outcomes and recommend improvements Personnel Administration: Manage recruitment processes, including posting job advertisements, screening CVs, coordinating interviews, and preparing job offers Support onboarding activities for new employees Employee Records and Documentation: Maintain and update employee records Ensure proper filing and documentation accuracy Manage social insurance and health insurance processes Handle personnel accident insurance documentation and related matters Manage visa, work permit, and temporary residence card processes Ensure compliance with labor laws and company policies Prepare required reports for government authorities and management Oversee employee lifecycle processes: onboarding, internal changes and offboarding Coordinate and organize training programs (HR systems, staff orientation, employee assessment programs) Other tasks as being required by Supervisor Bachelor's degree in Human Resources, Business Administration, Law, or related fields 2-3 years of working experience in in a similar position, working experience in global company is plus.
