Responsibilities

  • Essential Job Functions & Tasks
  • Perform basic, routine administrative duties under immediate supervision, following established procedures.
  • Assist with document processing, filing, and retrieval of information in both hard copy and electronic formats.
  • Support compilation of reports and gather information from other areas as needed.
  • Enter data, perform calculations, and retrieve information using computer systems and office equipment.
  • Support timekeeping and expense reporting across various systems.
  • Create and update presentations, including PowerPoint materials.
  • Maintain and manipulate spreadsheets, including pivot tables.
  • Help document process improvement efforts and related administrative materials.
  • Assist with new employee training and onboarding-related administrative support.
  • Communicate effectively with coworkers, business units, and others supporting the facility.
  • Take the lead on facility communications as needed.
  • Answer telephone calls, take messages, and communicate via electronic mail in a clear, professional, and helpful manner.
  • Receive and distribute incoming and outgoing mail.
  • Provide customer-focused support and refer questions or issues appropriately when needed.
  • Demonstrate initiative, strong problem-solving, and the ability to learn new tools, systems, and responsibilities quickly.
  • Work collaboratively to support productivity across the department and facility.
  • Be onsite in Niles, with limited flexibility to work from home during major weather events when needed.

Requirements

  • Education requirements are listed below:
  • High school diploma or GED
  • Work Experience requirement listed below:
  • 6-9 months of post-high school experience in learning and utilizing administrative office procedures, practices and equipment (i.e. business English, grammar, spelling, punctuation, letter writing, telephone technique) desirable.
  • Other preferences:
  • Strong computer skills, including experience with Microsoft Office products, especially PowerPoint and Excel
  • Experience with spreadsheet manipulation, including pivot tables
  • Strong verbal and written communication skills
  • Ability to organize data and processes effectively
  • Good analytical and problem-solving skills
  • Ability to work onsite and support a facility-based team
  • Ability to handle multiple priorities and support multiple business units
  • Comfortable working in a role that includes both administrative support and facility communication responsibilities
  • Sedentary physical demand level
