For further information, please visit: https://www.rws.com/intellectual-property-services/ Job Overview Key Responsibilities Responsible for the timely planning and processing of all bulk payments directly with PTOs and local suppliers by following the payment order release dates established within the renewal operating system. Responsible for the timely planning and processing of all ad hoc payments directly with PTOs and local suppliers by following the payment order release dates established within the renewal operating system. Monitor and track all PTO and local supplier payment order confirmations within timelines set forth. Responsible for chasing PTOs and local suppliers for outstanding payment order confirmations within timelines set forth. Review and verify all confirmed payments as well as archive the respective statements. Ensure that "Payment Completion" is recorded for each renewal confirmed as per processes set forth. Maintain payment ledger and collaborate with Finance. Prepare monthly budget forecast for deposit account top-ups to be approved by Director of Renewals. Understand and maintain payment infrastructure with PTOs. Responsible for collecting and uploading Renewal Receipts to renewal operating system. In charge of identification and clarification of any payment rejections and discrepancies. Collaborates with Service Account Manager to ensure customer is notified so appropriated actions can be taken. Stay up to date on official fee changes and renewal regulations. Ensure the highest level of care when working with client data. All other duties required to complete role to the highest standard. Ensure compliance with policies and procedures and take immediate action by reporting to your supervisor where risk is identified. Prompt and accurate handling of all tasks assigned. Understanding of task-tracking and urgency. Exceptional project management skills. Ability to master the renewals processing platform. Skills & Experience A minimum of five (5) years of experience as an IP renewal payment specialist in the IP industry or in a similar function required. Finance background is a plus. High-level attention to detail and excellent command of numbers and calculations. Understanding urgency and escalation procedure. Good communication skills. Exceptional time management skills. Planning and organising. Capable of working both with and without supervision, individually and as part of a team.
