About the role
We are seeking a detail-oriented and proactive MDM Specialist to join the Master Data Management team. This role is responsible for maintaining accurate, complete, and traceable master data across NetSuite, ZIP, Jira, and related systems. The role supports vendor onboarding, vendor and company bank details, legal entities and subsidiaries, directories and reference data, and data quality controls. This is not only a data entry role. The MDM Specialist works closely with Procurement, Business Operations, Accounts Payable, Treasury, Legal, Tax, Compliance, Internal Control, Finance, and ERP/IT. Responsibilities
- Data Maintenance and Stewardship
- Create, update, and maintain master data in NetSuite, ZIP, and other approved systems according to MDM policies and process requirements.
- Manage vendor master data, including legal name, address, tax information, payment method, currency, bank details, supporting documentation, and vendor status.
- Support company bank details and bank account master data updates in coordination with Treasury, Accounts Payable, and ERP/IT.
- Maintain and review directories and reference data, including departments, classes, locations, programs, geography, payment terms, tax codes, tax schedules, items, and other operational directories as assigned.
- Support legal entity and subsidiary data setup or updates after required input and documentation are provided by Legal, Treasury, Tax, ERP/IT, or other responsible owners.
- Controls, Validation, and Audit Trail
- Validate high-risk master data fields, especially vendor bank details, tax data, payment formats, currencies, legal entity data, and source-of-truth information.
- Check for duplicate vendors or records before creating or approving new data.
- Ensure requests are supported by the required documents, approvals, and owner confirmations.
- Keep a clear audit trail in Jira, ZIP, NetSuite, or other approved workflow tools.
- Support internal controls, audit requests, compliance reviews, and data quality checks.
- Perform reconciliations, bulk data checks, cleanup activities, and reporting using advanced Excel and system exports.
- Workflow and Stakeholder Support
- Process MDM Support Jira tickets and ZIP workflow tasks with clear comments, blockers, and next steps.
- Coordinate with Procurement, Business Operations, Accounts Payable, Treasury, Legal, Tax, Compliance, Internal Control, Finance, and ERP/IT to resolve blockers.
- Identify and route system issues, such as ZIP/NetSuite status-sync problems, missing dropdown values, workflow defects, inactive records, and integration issues, to the appropriate support team.
- Communicate clearly when information is missing, when a request cannot proceed, or when another team owns the next step.
- Help maintain MDM process documentation, knowledge base materials, issue registers, and practical guidance for requestors.
- Support continuous improvements that reduce manual rework, prevent recurring errors, and improve vendor onboarding and master data quality.
- Required Qualifications
- Bachelor's degree in Information Systems, Business Administration, Finance, Accounting, Data Management, or a related field; equivalent practical experience may also be considered.
- Experience in Master Data Management, finance operations, vendor management, procurement operations, Accounts Payable, ERP support, data governance, or a similar operational data role.
- Hands-on experience with ERP or workflow systems such as NetSuite, Oracle, ZIP, Jira, or comparable platforms.
- Advanced Microsoft Excel skills, including formulas, pivot tables, lookups, validation, data cleaning, and export analysis.
- Strong attention to detail and ability to work accurately with high-risk data such as bank details, tax details, payment information, and legal entity data.
- Understanding of documentation, approvals, audit trail, and control requirements in a policy-driven environment.
