The DOC is responsible for maintaining a safe and secure environment for staff, visitors, volunteers, and people in our custody. Importantly, safe jails enable DOC to provide people in custody with the tools and opportunities they need to successfully re-enter their communities. The DOC operates facilities and court commands across the five boroughs with more than 7,500 diverse professionals and knowledge experts. The DOC seeks to recruit an Executive Assistant who will provide high-level administrative and strategic support to the Chief of Staff (CoS). Serving as a trusted partner to the CoS, this role will operate with discretion, sound judgment, and professionalism and enhance leadership effectiveness and driving operational excellence. The position requires discretion, sound judgment, operational awareness, and the ability to manage complex, fast-paced environments with professionalism and efficiency. Key Responsibilities: -Provide direct support to the CoS, managing complex calendars, priorities, and competing demands while ensuring alignment with agency initiatives and executive priorities. -Coordinate high-level meetings, briefings, and executive engagements, ensuring the CoS is well-prepared with relevant materials, background information, and strategic context. -Draft, review, and edit correspondence, presentations, reports, and briefing documents on behalf of the CoS. -Conduct policy research and analysis on correctional operations, legislative matters, and agency initiatives to inform executive decision-making and strategic planning. -Assist with the development, review, and tracking of internal policies, directives, and procedural updates to ensure alignment with agency priorities and applicable regulations. -Support the CoS in managing cross-divisional initiatives and special projects by tracking milestones, coordinating stakeholders, and monitoring progress to ensure timely completion. -Prepare analytical summaries, briefing notes, and policy memoranda to support executive leadership discussions and operational planning. -Manage sensitive and confidential information with the highest level of discretion. -Screen and prioritize inquiries, escalating critical matters as appropriate. -Assist in preparing materials for executive presentations, board updates, and leadership meetings. -Ensure proper documentation, filing, and record-keeping practices are maintained. -Monitor action items and follow-ups from executive meetings to ensure accountability and timely execution of assignments.
