Position Overview ANSER is seeking an Operations Management Analyst to support the Office of the Secretary of War (OSW), Director of Administration and Management (DA&M), Organizational and Management Policy Directorate (O&MPD). In this role you will provide operational and correspondence management support to directorate leadership, government action officers, subject matter experts, and the contract team. You will facilitate the flow of classified and unclassified correspondence, support executive-level operations, and ensure timely execution of mission requirements supporting the Secretary and Deputy Secretary of War, Military support commands, and other senior Department of War leadership. Day to Day Responsibilities Assign and manage correspondence workflow as the Organizational and Management Policy Directorate liaison to Office of the Secretary of War components. Review and assign correspondence to the appropriate Office of the Secretary of War personnel through the Correspondence and Task Management System (CATMS). Develop, maintain, and monitor internal suspense tracking systems for correspondence, memoranda, letters, projects, and other official documents. Prepare metrics, weekly action reports, and reconciliation reports identifying pending, overdue, and critical suspense actions for government leadership. Provide guidance on managing correspondence for the Secretary and Deputy Secretary of War, Executive Secretary of the Department of War, and Office of the Secretary of War and Department of War Components in accordance with official Department of War correspondence guidance. Support the development and improvement of business methods, administrative procedures, office systems, file management processes, and production schedules supporting CATMS operations. Develop training materials and provide instruction on Organizational and Management Policy Directorate missions, CATMS processes, correspondence preparation, suspense management, and signature package requirements. Prepare Organizational and Management Department of War briefing materials and support Office of Legislative Counsel Green Sheet assignments and tracking. Coordinate administrative support activities including human resources, information technology, security, facilities management, visitor escorting, personnel in-processing, equipment and supply inventories, suite access, Sensitive Compartmented Information Facility (SCIF) maintenance, burn bag destruction, and resolution of information technology and network issues. Perform additional operational and administrative duties as assigned. Required Qualifications Master's degree and a minimum of 12 years of experience supporting operational, analytical, administrative, or project management efforts within the Office of the Secretary of War, the Department of War, or a comparable federal organization. In lieu of a master's degree, a bachelor's degree with an additional five (5) years of relevant experience may be substituted. Active Top Secret security clearance at the time of hire with the ability to obtain a Top Secret/Sensitive Compartmented Information (TS/SCI) clearance. Experience supporting correspondence management, executive task management, Executive Secretariat functions, or comparable government correspondence processes. Experience using the Correspondence and Task Management System (CATMS) and the Department of War Manual for Written Material: Examples and Reference Material (DoW Manual 5110.04). Experience supporting senior-level government officials and demonstrated knowledge of the structure and missions of the Office of the Secretary of War and Department of War Components. Ability to provide on-site support at the Pentagon Monday through Friday during core business hours, with flexibility to adjust work hours based on operational requirements.
