For more information, please visit www.fwd.com PURPOSE Responsible for providing secretarial and administrative support to the Group designated Senior Executives for Grade 13 or below and their direct reports Manage the EA team Group office in Hong Kong and related Admin work KEY ACCOUNTAIBILITIES Maintains Senior Executive's appointment schedule by planning and scheduling internal and external meetings/calls Organize meeting facilities e.g. VC/dial in/meeting set up Complex travel bookings Expenses reimbursement Organise small team events Organise courier services New Joiner onboard set up for the team Procurement for the team Manage and supervise EA Team to provide high- quality secretarial and administrative support Review the balance of the allocations of support requirements across the team and work to ensure there is an equal and appropriate distribution of responsibilities. Lead the EA Team to drive innovation and improvements to team functions, processes and procedures, and help to embed an organisational culture of continuous improvement Managing performance and development, through regular feedback, supervision, supporting learning and the Performance development review process. Developing and maintaining effective working relationships across the team, department, directorate and organisation as a whole. QUALIFICATIONS / EXPERIENCE At least 10 years' work experience in i-bank or financial institution or insurance field 5+ years of experience for serving senior executives Management experience for Assistant team is an advantage Worked for a team would be a privilege Formal secretarial training or above Good command of written and spoken English KNOWLEDGE & TECHNICAL SKILLS Excellent communication and interpersonal skills Outlook experience Zoom and Teams usage Proficient of MS word, excel, power point Excellent time management skill Verbal and written communication Problem solving skill and able to provide alternatives for various situations or any potential risk Experience with arranging in-house party for senior executive PEOPLE MANAGEMENT A clear communicator, effective facilitator who is respectful to others, fair and kind, exemplifies integrity and can influence and negotiate difficult situations to assist in resolving conflict Work with team members to develop clear goals tied closely to team and organizational priorities A motivational leader with the ability to coach and provide team members with constructive feedback through a mix of general and formal individual check in's and performance reviews
