Responsibilities

  • Familiarization:
  • Become familiar with Hostmost organization structure, including the duties and responsibilities of the other team members.
  • Learn about our customers, their operations and the marine industry generally. Who to speak with regarding vessel management (SI, Vessel Managers, Fleet Manager, Purchaser, etc.)
  • Become familiar with the manufacturers, products, functionality and price points of Hostmost's products and services.
  • Understand shipping schedules with regards to new-builds, dry docks, special surveys, and retrofits.
  • Follow all instructions and training from your supervisors.
  • RFQ Management:
  • Respond promptly to RFQs from potential clients.
  • Gather necessary information to prepare accurate and competitive quotes.
  • Collaborate with technical teams to ensure the proposed solutions meet customer requirements.
  • Record customer reasoning for success or failure of RFQ.
  • Order Processing:
  • Process orders for service arrangements, equipment and spare parts.
  • Ensure smooth communication with customers about order details such as ETA / ETD of the vessel, delivery location or other logistics concerns.
  • Customer Visits and Business Acquisition:
  • Gather necessary information about fleets, projects and opportunities. Stay informed of industry trends with regards to mergers and acquisitions.
  • Regularly visit customers to present Hostmost products and services. Keep them informed of the latest trends, technologies and regulations as needed.
  • Look for new customers in all areas of the industry including fishing, ferries, deep-sea, coastal, workboats, tugboats and more.
  • Explore lines of business outside of Hostmost's traditional products.
  • Document Preparation:
  • Prepare documents such as quotations, purchase orders, sales orders, shipping documents, and ensure accuracy of information.
  • Coordinate with logistics and inventory teams to ensure timely order fulfillment.
  • Invoicing and Payment Processing:
  • Prepare draft invoice documents.
  • Verify payment details and follow up on outstanding payments as required.
  • Systems Utilization:
  • Use M365 applications for communication with colleagues.
  • Use Zendesk for ticketing system and communication with customers and suppliers.
  • Utilize MS Business Central for ERP system functions such as quotation, purchase, sales and invoicing.
  • Product Knowledge and Training:
  • Stay informed about the latest marine electronics products, regulations, technologies, and industry trends.
  • Participate in training sessions to enhance your understanding of the products you sell.
  • Have your work reviewed before sending to customers and clients.
  • Industry Events:
  • Attend conferences, trade shows and exhibitions as needed
  • Accompany our manufacturing partners to meetings and events
  • Attend technical workshops as needed
  • Other Duties as Required:
  • Attend to urgent inquiries as required, which may include after hours support from time to time.
  • Be a good team player - participate in team building and company events from time to time.

Requirements

  • Education: Minimum O-Level or equivalent (some knowledge in marine industry is a plus).
  • Working Experience: 1 year of administrative experience preferred, but candidates without experience are welcome to apply.
  • Proficiency in English is essential, as it is the primary language of communication in the global marine industry.
  • Basic understanding of marine electronics and/or marine industry.
  • Customer-focused mindset, sense of logic and urgency.

Additionally, you'll be utilizing Microsoft systems such as Outlook, MS Teams, SharePoint, and Business Central to streamline communication and sales processes.
