About the role
The Procurement Executive is responsible for managing the end-to-end purchasing process of materials and required for ELV and electrical projects -under fast turnaround and tight project schedules. Responsibilities
- Coordination: Work with project teams to consolidate purchase requests and plan material delivery timelines.
- Technical Review: Read and interpret datasheets, supplier cut sheets, technical specs, and material samples to ensure compliance with BQ or tender requirements.
- BQ Interpretation: Analyze Bill of Quantities (BQ) to identify exact material specs and quantities required for each project.
- Quotation Analysis: Evaluate supplier quotations, review technical specs, and ensure completeness before approval.
- Sourcing: Liaise with local and China suppliers for ELV & electrical materials & tools (CCTV, UPS, Cabling, Trunking, DBs, etc.).
- Negotiation: Negotiate for better pricing, payment terms, and lead times.
- Order & Delivery: Issue POs, DOs, and coordinate shipments and deliveries to site/ warehouse on time.
- Issue Resolution: Resolve delays, logistics issues, or product defects with suppliers.
- Returns & Claims: Coordinate returns, replacements, exchanges, and warranty claims for wrong, damaged, faulty goods.
- Documentation: Maintain organized procurement files including PO, DO, supplier quotes, datasheets, invoices, and warranty records.
- Database Management: Build and update catalogues of frequently used parts, approved suppliers, and pricing history.
- Budget Control: Keep purchases within BQ/quotation budgets and notify the team of cost overruns or price changes.
- Compliance: Ensure proper documentation and filing of procurement transactions for audit and project handover
- Supplier Relations: Build long-term relationships with key suppliers, negotiate better terms, discounts, rebates, and pricing.
Requirements
- Education: Diploma/Degree in Business, Engineering, Supply Chain, or related fields.
- Industry Background: 3-5 years of procurement experience in construction/ M&E/ ELV/ Electrical installation works.
- Technical Knowledge: Familiar with ELV systems such as CCTV, card access, PA, intercom, and structured cabling; able to read product datasheets and compare specs.
- Familiar with sourcing from China and coordinating import logistics.
- BQ Literacy: Comfortable reading construction or tender documents (BQ), identifying correct items, and matching them to supplier quotes. Skilled in Microsoft Excel and ERP systems.
- Good negotiation and communication skills.
- Fast, adaptable, and responsive - able to manage multiple orders across concurrent projects.
- Strong sense of responsibility and initiative; able to work independently without micromanagement.
