Job Description Blackstone Real Estate is seeking a highly organized Administrative Assistant to support the Office of the Head of Blackstone Real Estate. This role works in close partnership with the office's senior-level Executive Assistant and provides essential administrative, expense, and event-planning support. The position plays a key role in ensuring the smooth day-to-day operations of the office and supporting senior leadership in a fast-paced environment. Administrative & Executive Support Support the Office of the Head of Blackstone Real Estate in coordination with the Executive Assistant. Assist with calendar management, meeting coordination, and travel arrangements as directed by the Executive Assistant. Provide support on ad hoc projects and special initiatives for the leadership team. Handle sensitive and confidential information with the utmost discretion. Expense Management (Primary Owner) Prepare, submit, and track expense reports accurately and on time, in accordance with firm expense policies. Partner with Finance and internal stakeholders to resolve expense-related questions or discrepancies. Event Planning & Coordination (Primary Owner) Plan and coordinate internal and external events, including leadership meetings, team offsites, group town-halls, and firm-sponsored functions. Manage event logistics such as venue selection, catering, travel coordination, materials, and on-site support, in partnership with the Blackstone Events Team. Track event-related expenses and support post-event reconciliation as needed. Travel Arrangements and Planning (Primary Owner) Coordinate domestic and international travel arrangements for the Head of Blackstone Real Estate and related leadership, in alignment with direction and priorities set by the Executive Assistant. Book flights, hotels, ground transportation, and visas as required, with adherence to firm travel policies. Prepare detailed travel itineraries and ensure all logistics are confirmed in advance of travel. Monitor travel schedules for changes or disruptions and proactively manage any necessary re-bookings.
