Primary Function of Position Reporting to the Manager, PEPS Operations APAC, the PEPS Operations Specialist APAC drives the efficiency of daily operations by streamlining processes, maintaining quality, and identifying improvements that enhance operational performance for Customer Training and Genesis. Key responsibilities include evaluating business procedures, monitoring metrics, coordinating logistics, and contributing to special projects. Essential Job Duties Aligns with PEPS regional leadership on key business priorities and partners with cross functional teams to drive continuous improvement initiatives that support operational excellence. Manages the logistics and coordination of regional events-including peer‑to‑peer summits, society events, congresses, and rotational or academic programs-in partnership with the program management and marketing teams. Collaborates with key stakeholders to ensure successful implementation of new technologies, procedures, and product launches, and manages the communication and coordination required to keep all parties aligned. Organizes, executes, and monitors assigned projects, coordinating cross functional activities and deliverables to ensure timely progress. Manages, maintains, and communicates the status of yearly and quarterly goals in collaboration with key stakeholders and business partners. Manages and maintains key operations records, including but not limited to certificates, waivers, evaluations, surveys, Smartsheet, and credentials, as well as conduct audits to assess quality and ensure compliance. Gathers and communicates the data and information needed to ensure training models are accurately planned, managed, and distributed. Coordinates with Logistics, Regulatory, and other key business partners to support importation activities. Supports the document management workflow, including submitting and routing documents for approval through the document control systems as well as coordinating activities related to updates and revisions. Manages certificate requests and responds to inquiries related to equivalency certificates. Maintains and updates the inventory catalog, including systems, instruments and accessories, learning products, and training center contracts. Supports creation and formatting of PowerPoint materials, including meeting decks, project updates, operational summaries, and stakeholder review documents. Supports process documentation, including SOP/WI updates, agenda revision/updates, workflow mapping, version control, and document routing. Required Skills and Experience 3-5 years' experience in operations, including basic data management and reporting skills, including consolidating information from multiple stakeholders. Proficiency in Microsoft Office applications, particularly PowerPoint, Excel, and Outlook. Experience using project management and collaboration tools such as Smartsheet, Box, or similar platforms. Ability to coordinate across different countries, cultures, and time zones within a regional organization. Understanding of regional regulatory and compliance requirements. Detail-oriented, organized and takes initiative, problem-solving mindset. Strong process orientation: must ensure all stakeholders understand processes and responsibilities related to each event, program, and meeting. Demonstrated ability to work effectively across the organization. Strong follow-through and ability to track deliverables to completion with minimal supervision. Ability to present information in a clear and concise manner. Excellent organization, time management, prioritization, and problem-solving skills. Excellent written and verbal communication skills. Must be flexible, self-directed, and self-motivated. #LI-Hybrid Required Education and Training Bachelor's degree in business administration, finance, engineering, or related field. Preferred Skills and Experience Experience in Medical Device; professional education or logistics. Project management experience. Experience with lean processes and/or certification in a process improvement framework. Knowledge of sales, training, or marketing software tools (Salesforce, Tableau, Agile, SAP).
