JOB TITLE SUMMARY Job Title: Administrative Assistant (Office of Student Involvement) Division: Academic Affairs Evaluation Group: Staff FLSA Status: Non- Exempt Reports To: Director, Student Involvement Positions Supervised: N/A The Administrative Assistant provides administrative support for the Office of Student Involvement, with a primary focus on student organization purchasing processes, departmental financial transactions, and student event submission workflows. This position serves as a key resource for students and campus partners by coordinating operational processes, maintaining records, providing customer service, and supporting the successful execution of student engagement initiatives and campus events. Job Summary The administrative assistant is responsible for performing a variety of routine customer service, clerical and administrative duties according to established procedures. This position also provides training and assistance to department staff. Essential Job Functions and Performance Indicators The intent of this job description is to provide a representation of the types of duties and level of responsibility that will be required of positions given this title. Job Responsibilities and Execution Produces and formats documents, including composition, editing, proofreading and aggregation of data Schedules and organizes complex activities such as meetings, travel, conferences and departmental activities Organizes and prioritizes large volumes of information and calls Maintains appropriate supply inventory for the office Compiles information and organizes it into relevant reports Collects, organizes and composes correspondence for department staff Maintains filing systems and utilizes basic word processing, database and spreadsheet skills Handles confidential and non-routine information and explains policies when necessary Assists with and coordinates professional meetings Participates in department meetings as requested Service Excellence Supports the mission of the university and serves as an ambassador of the Q2 culture of service excellence Models, supports and holds others accountable to the university's values - integrity, dedication, excellence, creativity and teamwork Communication, Teamwork and Collaboration Answers phones, responds to email, forwards messages and confirms appointments Acts as a liaison with other departments and outside agencies, including high-level staff Works independently and within a team on special nonrecurring and ongoing projects Job may require other duties as assigned.
