We are looking for a responsible, organized, and detail-oriented Admin cum Account Executive to join our growing team.

Responsibilities

  • Administrative
  • Handle daily administrative duties and office operations.
  • Answer phone calls, WhatsApp messages, and email enquiries professionally.
  • Schedule appointments, classes, consultations, and meetings.
  • Prepare quotations, invoices, receipts, and service agreements.
  • Maintain proper filing of customer records and company documents.
  • Coordinate with customers, trainers, vendors, and business partners.
  • Support workshops, seminars, and company events.
  • Manage office supplies and general office administration.
  • Accounting
  • Perform full set or partial accounting duties.
  • Prepare customer invoices and monitor payments.
  • Process Accounts Receivable (AR) and Accounts Payable (AP).
  • Perform bank reconciliation.
  • Prepare monthly financial reports and cash flow summaries.
  • Maintain accurate accounting records using accounting software.
  • Assist with GST records, audit preparation, and liaise with external accountants.
  • Process staff claims and reimbursements.
  • Customer Service
  • Provide excellent customer support before and after sales.
  • Follow up with customers regarding appointments, payments, and services.
  • Maintain a professional and positive company image.

Requirements

  • Diploma or Degree in Accounting, Business Administration, Finance, or related field.
  • Minimum 3 years of relevant working experience preferred.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Experience with accounting software (e.g. Xero, QuickBooks, MYOB, or similar) is an advantage.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Responsible, trustworthy, and able to maintain confidentiality.
  • Able to work independently and as part of a team.
  • Fluent in English; ability to communicate in Mandarin is an advantage to serve Chinese-speaking clients.
