About the role
Aero Supplies Systems Engineering Pte Ltd (ASSE) is a Singapore-based engineering company providing engineering, procurement, project management, and industrial equipment solutions across various industries. We are seeking a dedicated and detail-oriented Administrative Executive to support our Accounts, HR, Procurement, and Operational functions.
Responsibilities
- Accounts & Finance
- Prepare invoices, quotations, purchase orders (POs), delivery orders (DOs), and statements of accounts.
- Assist with Accounts Payable (AP) and Accounts Receivable (AR) functions.
- Monitor customer payments and supplier invoices.
- Perform bank reconciliations and maintain accurate financial records.
- Assist with monthly financial reporting and year-end audits.
- Prepare and coordinate GST submissions and supporting documentation.
- Liaise with external accountants, auditors, and tax consultants.
- Human Resources & Payroll
- Maintain employee records and personnel files.
- Prepare and process monthly payroll calculations.
- Handle CPF submissions, employee claims, and statutory contributions.
- Assist with leave management, attendance tracking, and onboarding of new employees.
- Support work pass administration, renewals, and employee documentation.
- Coordinate staff training records and certifications.
- Procurement, Logistics & Shipping
- Prepare quotations, purchase orders, and supplier correspondence.
- Coordinate with local and overseas suppliers regarding purchases and deliveries.
- Prepare and manage shipping documents, including: Commercial Invoices, Packing Lists, Delivery Orders, Certificates of Origin, Freight and Export Documentation
- Liaise with freight forwarders, couriers, and customers regarding shipment schedules.
- Administration & Operations Support
- Manage office administration and document control.
- Organize company records and filing systems.
- Assist management with reports, presentations, and correspondence.
- Coordinate meetings, travel arrangements, and company events.
- Support project teams with administrative and procurement requirements.
- Perform other ad-hoc duties assigned by management.
Requirements
- Minimum Diploma in Business Administration, Accounting, Finance, Logistics, Engineering, or a related discipline.
- Minimum 1 year of relevant administrative experience preferred.
- Experience in payroll administration, CPF submissions, and GST filing.
- Familiarity with quotations, purchase orders, invoicing, and shipping documentation.
- Knowledge of Singapore employment regulations and statutory requirements.
- Experience with accounting software is an advantage.
- Engineering industry experience or knowledge will be an added advantage.
- Proficient in Microsoft Office (Excel, Word, Outlook) preferred.
- Strong organizational and communication skills.
- Able to work independently and handle multiple tasks simultaneously.
