The Grant Coordinator is responsible for managing the full lifecycle of entitlement and formula-based grants at Vertex Education, from application to closeout. This position plays a central role in ensuring that grant-funded programs are effectively implemented, properly documented, and aligned with all applicable federal, state, and local requirements. Working in collaboration with school leadership, finance, and other departments, the Grant Coordinator develops budgets, monitors grant spending, prepares financial and programmatic reports, and ensures all deliverables are submitted accurately and on time. This role supports compliance and performance monitoring while fostering efficient and coordinated grant operations across the organization. ESSENTIAL FUNCTIONS: Grant Lifecycle Management: Prepare and submit applications for entitlement and formula-based grants, ensuring alignment with regulatory and organizational requirements. Work with campus and department teams to establish and maintain grant budgets that support programmatic goals and allowable expenditures. Monitor grant-funded activities to ensure alignment with approved scopes, timelines, and fiscal plans. Budget Tracking, Reimbursement & Reporting: Track and document grant-related expenditures in collaboration with the accounting and finance teams. Submit reimbursement requests in accordance with grant timelines and funding agency procedures. Prepare and submit required interim and final reports, including both financial and narrative components. Support budget amendments and ensure that all changes are accurately reflected in reporting and reimbursement submissions. Compliance & Guidance: Interpret and apply federal, state, and local guidelines related to entitlement grant requirements and spending. Provide support and guidance to schools and departments on proper use of funds, allowable costs, and documentation practices. Monitor timelines, due dates, and program deliverables to ensure full compliance with funding requirements. Training, Communication & Support: Collaborate with school leaders and support staff to build capacity in grant tracking and compliance practices. Communicate clearly and regularly regarding grant updates, deadlines, and changes in policy or procedure. Assist with the development of tools and systems to streamline data tracking and reporting. KNOWLEDGE, SKILLS, & ABILITIES: Education, Licensure, or Certification: Bachelor's Degree in business, education, public policy, or other related field required or grantsman experience equivalent. IVP Level One Fingerprint Clearance Card required. Work Experience or Related Experience: 3-5 years of experience developing grant proposals. Demonstrated ability to develop successful grant proposals. Ability to analyze grant guidelines and apply comprehensive knowledge of educational content to grant requirements. Strong attention to detail is required. Ability to work on multiple high-stakes, deadline-driven projects simultaneously. Strong critical and analytical skills. BACKGROUND CHECKS: The incumbent in this position will be required to pass a criminal history background check. PHYSICAL AND TRAVEL REQUIREMENTS / WORK ENVIRONMENT: Travel between campuses is required from time to time. Out-of-state travel required from time to time (10%). This position requires the need to lift objects (up to 25 pounds) on occasion. This position may require sitting for long periods at times, talking on the phone, standing, kneeling, stooping and long periods of concentration.
