Responsibilities

  • Human Resources
  • Manage the full recruitment lifecycle, including job postings, candidate sourcing, screening, interview coordination, offer administration, onboarding, and pre-employment documentation.
  • Lead employee onboarding and offboarding processes, ensuring timely completion of employment documentation and system updates.
  • Administer work pass applications, renewals, cancellations, and related workforce documentation via MOM (WPOL, MyMOMPortal) for corporate and crew employees.

  • Serve as the primary point of contact for employees and crew on HR policies, procedures, benefits, and day-to-day HR enquiries.
  • Support payroll administration by preparing payroll inputs, attendance, leave, claims, and other employee-related records.
  • Coordinate HR projects, employee communications, engagement activities, and other HR operational initiatives as assigned.
  • Crewing & Operations Administration
  • Coordinate crew mobilisation activities, including sign-on/sign-off arrangements, flight / Ferry bookings, accommodation, transportation, and workforce logistics.
  • Manage crew documentation, regulatory submissions, and workforce administration to ensure timely deployment of crew.
  • Coordinate manning administration, including licence applications, renewals, crew movements, and related documentation.
  • Track and monitor the validity of work passes, landing passes, medical certificates, licences, and other mandatory crew documentation.
  • Maintain accurate operational trackers and documentation for audit readiness and regulatory compliance.
  • Compliance & Stakeholder Management
  • Ensure compliance with MOM, ICA, MPA, and other applicable employment and maritime regulations.
  • Liaise with government agencies, statutory authorities, external vendors, and stakeholders on employment, immigration, workforce, and regulatory matters.
  • Prepare and maintain documentation required for audits, inspections, and compliance reviews.
  • Support continuous improvement of HR and crewing processes to enhance operational efficiency and regulatory compliance.
  • Administrative Support
  • Maintain proper filing and record management for HR, crewing, and operational documentation.
  • Provide general administrative support to the HR and Operations departments.
  • Perform any other duties and projects assigned by Management from time to time.

Requirements

  • Diploma or Degree in Human Resource Management, Business Administration, or a related discipline.
  • Minimum 2 years of HR, crewing, or administrative experience, preferably in the maritime or shipping industry.
  • Familiarity with Singapore employment regulations and work pass administration.
  • Knowledge of MOM, ICA, and MPA processes is an advantage.
  • Strong organizational, communication, and coordination skills with the ability to manage multiple priorities.
  • Proficient in Microsoft Office applications and HR systems.
  • Meticulous, resourceful, and able to work independently in a fast-paced environment.
