Position Overview The Medical Secretary role involves a variety of administrative tasks to support the efficient running of our medical office or clinic. This position requires someone who is highly organized and detail-oriented, capable of multitasking effectively under pressure. Key Responsibilities - Provide secretarial support and co-ordination of all administrative duties for selected consultants. - Manage consultant schedule, inclusive of booking outpatient and theatre appointments, noting any annual leave, study leave, meetings, etc. - Undertake amendments or cancellations to clinic lists as instructed, liaising with staff where appropriate to include rescheduling and reissuing of appointments. - Complete imaging request forms within Meddbase and schedule the appointment, quoting the fee if patient is self-funded - Prepare consultant clinics, ensuring all relevant information is received prior to the patient's appointment such as imaging reports and referral letters - Organise theatres inclusive of completing booking forms, scheduling the patients via Meddbase, sending and saving confirmations, managing pre-assessments and post-operative appointments. - Liaise with internal departments ie radiology, bookings, appointments to ensure a smooth patient journey. - Review dictations, edit and send clinic letters to patients, referrers, GPs, etc. - Scan medical documents and correspondence on to patient file - Serve as a liaison between patients, healthcare providers, and other staff members, relaying messages and inquiries effectively. - Respond timely to all patient enquiries by phone and email. - Collect payments for self-funded patients. Essential Strong verbal and written communication skills Previous experience in a similar role Excellent IT skills Significant understanding of medical terminology Strong organizational skills and ability to manage time effectively Desirable Professional, confident and friendly manner Ability to work independently as well as part of a team
