About the role

- Supporting the end-to-end production process, including filming enquiries, permit applications, and coordination with local authorities and service providers.
- Maintaining and managing integrated systems and databases (e.g. production logs, location databases, enquiry tracking, and permitting records).
- Processing invoicing and financial administration, ensuring accurate record-keeping and supporting reconciliation with partners.
- Coordinating meetings, agendas, and minutes, ensuring clear communication and follow-up actions.
- Supporting live productions with logistics, location services, and stakeholder communications to ensure smooth delivery under tight deadlines.
- Assisting with marketing and promotional activity, including newsletters, social media, industry events, and familiarisation visits.
- Managing and maintaining contact databases and communications, ensuring consistent and professional engagement externally.
- Leading on the collection and management of production data, ensuring accuracy across systems.
- Producing reports and insights on economic impact and performance, supporting strategic decision-making and demonstrating regional value.
- Contributing to the wider development of the West Midlands' creative ecosystem, supporting collaboration across production, digital, and creative sectors.
Requirements
- Essential Proven experience working in a fast-paced, high-volume environment, delivering excellent operational or administrative support.
- Strong organisational skills, with the ability to manage multiple priorities and tight deadlines.
- Experience managing databases or systems (e.g. CRM, finance systems, or tracking tools) with a high degree of accuracy.
- Excellent communication and stakeholder engagement skills, with confidence in a front-facing role.
- Experience in financial administration, such as invoicing, reconciliation, or budget tracking.
- Ability to work proactively and independently, solving problems and maintaining service quality.
- Experience in data handling and reporting, with the ability to translate information into clear insights.
- Desirable Experience working in or alongside film, TV, events, or a film office environment.
- Knowledge of the West Midlands creative or screen sector landscape.
- Familiarity with working across public sector partners or local authorities.
- Experience supporting events, marketing, or promotional activity.
- A full UK driving licence for site visits and meetings.
